Job Summary

Acting under the direction of the Administrative Manager, the Surgical Pathology Coordinator II will work under general supervision to perform technical and clerical functions required for core front-end laboratory operations, database and materials management for clinical and research projects, conferences, and courses. The Surgical Pathology Coordinator II is responsible for send-out tests, accurate verification of materials sent out and received. The Surgical Pathology Coordinator II will serve as the liaison between clients and BWH Pathology and follow up on the timely receipt of slides and blocks.

Clinical Support Duties:

  1. Maintains a good professional relationship with outside storage facility, Access Corporation, as it pertains to daily retrieval of pathology slides and paraffin blocks, and the ongoing archiving of materials. Includes maintaining the database and all activities associated with organizing, labeling and tracking stored/requested items.

  2. Orders, picks up and facilitates the handling of materials (e.g. slides, blocks, and reports) used for conferences, research projects, and clinical trials. Maintains delivery logs, shipments and consults requests.

  3. Runs reports on consult materials requested for IHC Lab special studies, pulls materials and delivers it to the IHC Lab.

Non-Clinical Duties:

  1. Responsible for daily handling, filing, tracking, and retrieval of diagnostic slides (approximately cases daily). Must be able to verify status of all cases upon request.

  2. Responsible for the daily log-in of up to 25-30 cases returned with slide archive receipt.

  3. Weekly processing and inter-filing of slides from between 5000 to 10000 slides per week composed of frozen section, breast core, and hematopathology cases.

  4. Daily processing (banding and interfiling) of unstained slides from between cases weekly and Hematopathology cases received every 2 to 3 months.

  5. Prepare slides to be transported to offsite storage when necessary (includes barcoding, labeling, and record-keeping of all material sent-to off-site storage).

  6. Prompt archival of consult unstained slides.

  7. Creates, updates, and maintains filing system of surgical tissue slides and paraffin blocks.

  8. Files, faxes, emails, and photocopies.

  9. Prepares materials for couriers, ground, and express shipping.

  10. Maintains division specific databases and creates reports as needed.

  11. Maintains office and orders supplies. Oversees cleaning and maintenance as directed.

  12. Performs all other duties and responsibilities as directed

Qualifications

  • High School Diploma or GED required.
  • Associate degree preferred.
  • Knowledge and use of basic medical terminology.
  • Experience in a healthcare or laboratory setting preferred.
  • PowerPath, EPIC knowledge preferred but not required.
    Basic knowledge of Microsoft Office application required.
