Job Summary:

Performs general clerical and related support tasks to facilitate the flow of work and contribute to the overall efficiency of the assigned department.

Responsibilities:

  • Supports the Small Group Contract Management process by coordinating the receiving, signing and submitting of new agreements for groups, brokers and producers. Includes follow up with client and broker as needed and monthly auditing to alert the Client Services team of missing contracts.
  • Assists with planning company events, maintaining company calendars, and acts as main point of contact for company programs.
  • Orders company office supplies through the PO system and reviews and prepares A/P invoices for approval, including monitoring of PO system to ensure payment issued for invoices and tracks accordingly.
  • Acts as receptionist at front desk and greets visitors.
  • Maintains printers, copiers, postage machine and monitors offsite storage. Acts as a liaison for building maintenance assistance and contacts vendors as needed.
  • Maintains inventory of printed items, updating spreadsheets as needed, requesting printed inventory items to be sent to the company. Responsible for offsite storage inventory by maintaining offsite storage of documents and coordinate yearly destruction based on company retention policy.
  • Performs other duties as assigned and assistance to other departments as needed.

Qualifications:

Education and Experience:

  • High School diploma or GED.
  • 1 year of administrative support experience.

Technical Skills and Knowledge:

  • Basic knowledge of standard office procedures and equipment (multi-function copier/printer/scanner, etc.).
  • Proficiency in MS Office skills (Beginner to Intermediate, Intermediate preferred), Calendar/scheduling, digital record keeping, document preparation.
  • Communication: Professional verbal and written communication. Ability to relay messages clearly and accurately.
  • Customer Service: Ability to assist internal staff and external clients by handling inquiries and resolving minor issues.
  • Organization: Ability to prioritize and multi-task, attention to detail and event or meeting coordination. #LI-JT1 #LI-ONSITE
