Operations Support (Part-Time, In-Person – Cary, NC) 10–20 hours/week
Do you love bringing order to moving parts — preparing spaces, managing logistics, and using tech to make life easier?
If so, you might be the perfect fit for the Operations Support role supporting a successful entrepreneur, EOS Implementer, and leadership coach based in Cary, NC.
About Me
I'm a veteran, entrepreneur, and coach driven by a deep personal mission: to help entrepreneurs and leaders grow thriving businesses without sacrificing their lives in the process. My work — and recently published book on compassionate leadership — is fueled by personal experiences with loss, stress, and the high costs of unchecked ambition. I coach because I believe leadership can be more humane.
I'm looking for someone who respects this mission and feels inspired to support it — someone ready to make a real difference alongside me.
About the Role
This role is for someone who thrives behind the scenes — creating order, maintaining structure, and ensuring a world-class experience for every client session. You'll be an extension of how I show up to clients: professional, calm, prepared, and proactive.
You'll handle everything from preparing our Cary session space to coordinating travel, printing materials, tracking loose ends, and using tech to simplify operations. Your work makes it possible for me to stay focused on coaching, leadership, and client impact.
This position is in-person at our Cary session space, with Fridays at 9:30 AM reserved for our weekly meeting. During the first three months, consistent in-office presence is required to build rhythm and familiarity with our systems and clients.
Who You Are
You're someone who:
- Loves structure, organization, and creating calm in the chaos
- Takes ownership — you see what needs to be done and make it happen
- Is tech-savvy (ChatGPT, Google Workspace, travel booking, and digital tools)
- Enjoys a mix of behind-the-scenes support and direct client interaction
- Can manage multiple priorities while staying calm and professional
- Has a valid driver's license, reliable car, and can run local errands
- Is trustworthy — background check and NDA are required (you'll have card access to the office)
- Brings positive energy, professionalism, and accountability to the team
What You'll Own
- Front Stage Session Support – Room setup, printed materials, session photos, and client hospitality. Greet clients and ensure every detail is in place for a professional, welcoming experience.
- LMA (Leadership, Management, Accountability) – Track to-dos and confirm completion. Communicate loose ends and manage follow-up with Marketing and PR partners to ensure accountability and execution.
- Admin & Travel – Handle travel arrangements, scheduling, logistics, and errands. Manage calendars, operational details, and support seamless coordination across projects.
- Tech & AI – Use ChatGPT and other digital tools to automate and simplify recurring tasks. Identify smarter, faster ways to improve daily efficiency and team productivity.
- Marketing, PR & Social Media – Coordinate with Marketing and PR to post content and support ongoing campaigns. Manage light social media updates and engagement — primarily LinkedIn and Instagram. Post pre-approved content, ensure consistency across platforms, and track engagement metrics.
Skills You'll Need
- Exceptional communication skills — clear, confident, and professional in both writing and speech. You represent the brand and the experience.
- Organizational mastery — you don't just manage tasks, you design systems that make work flow smoothly.
- Bias for action — you take initiative, anticipate needs, and execute before being asked.
- High attention to detail — you catch what others miss and follow through until things are complete.
- Ability to manage multiple priorities — you stay calm and focused when things get busy, balancing logistics, communication, and deadlines with ease.
- Leadership mindset — you can hold others accountable, communicate expectations clearly, and support follow-through with confidence.
- Tech fluency — comfortable using and learning tools like Google Workspace (Docs, Sheets, Calendar, Drive), social media platforms (LinkedIn, Instagram), and AI tools (ChatGPT, Notion AI, or others) for drafting, research, and automation.
- Resourceful problem-solver — you don't get stuck; you find solutions and move things forward.
- Professional presence — poised, friendly, and dependable, especially in client-facing settings.
- Discretion and integrity — trusted to handle confidential information responsibly.
