Job Summary:

The Program Coordinator provides administrative and operational support to the Vice President of Medical Education and Program Directors. This role includes clerical duties, department correspondence, scheduling, and assisting with communication among students, residents, fellows, and hospital departments. The Program Coordinator also ensures compliance with the Accreditation Council for Graduate Medical Education (ACGME) and other subspecialty guidelines.



Responsibilities:

  • Coordinate program committees (residency, clinical competency, etc.) and manage communications with affiliated hospitals.
  • Process evaluations for residents and oversee summative reviews.
  • Prepare and compile data for accreditation and internal/external reports (ACGME Site Visits, Surveys, Internal Reviews, Annual Program Reviews).
  • Maintain credentialing records, logs, and documentation for residents and fellows.
  • Manage resident and program financial processes, including reimbursements, invoices, and spending records.
  • Oversee the Residency Management System, including assignments, schedules, attendance, and demographic updates.
  • Support residency recruitment, including ERAS application management, scheduling interviews, and coordinating with international and local candidates.
  • Verify applicant eligibility (program selection policy, ECFMG, visa requirements) and assist with National Resident Matching Program (NRMP) submissions.
  • Maintain compliance with institutional and accreditation policies and procedures.


Requirements:

  • Bachelor's degree preferred.
  • Strong organizational and communication skills.
  • Experience with ACGME-accredited programs or graduate medical education is highly desirable.
  • Proficiency with Microsoft Office and residency management systems (e.g., New Innovations, ERAS).

Must clear background and drug test required.
