Imagination ABA Therapy is a small, clinician-owned ABA therapy agency providing high-quality Applied Behavior Analysis (ABA) services to children with Autism Spectrum Disorder (ASD) and developmental needs. We are seeking a motivated and detail-oriented Case Manager / Office Associate to support our clinical and administrative operations at our office in Lakewood, NJ.

Key Responsibilities
Case Management Support
  • Act as a point of contact for families, Behavior Technicians (BTs), and BCBAs.
  • Assist with client onboarding, scheduling, and case assignments.
  • Track authorizations, service hours, and treatment plans.
  • Monitor client progress and coordinate with clinical staff for updates.
  • Ensure compliance with ABA therapy standards and insurance requirements.
Office / Administrative Support
  • Manage phone calls, emails, and client inquiries.
  • Maintain organized client records in CentralReach (CR) and other systems.
  • Assist with payroll data entry, timesheets, and billing reconciliation.
  • Support HR/onboarding for new staff, including background checks and credentialing paperwork.
  • Prepare reports, forms, and documentation for insurance submissions.
  • Provide general office support to the clinical and administrative leadership team.
Qualifications
  • Preferred: Experience with CentralReach (CR) for scheduling, billing, and data management.
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Familiarity with ABA therapy, behavioral health, or healthcare administration preferred.
  • Proficiency with Microsoft Office / Google Workspace.
  • Ability to work independently in a fast-paced, growing environment.
  • Bachelor's degree in psychology, education, healthcare administration, or related field preferred (not required).
  • Experience in medical billing, scheduling, or case management is a plus.
