Overview

We are seeking a detail-oriented and organized Office Clerk to join our dynamic team. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office management tools. This role offers an opportunity to support daily office operations, enhance customer service experiences, and contribute to the overall efficiency of our organization. Prior office experience and familiarity with software such as Microsoft Office, QuickBooks, and Google Workspace are highly valued. Bilingual skills are a plus, enabling effective communication with diverse clients and team members.

Duties

  • Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry and maintain accurate records using Microsoft Office and other office management software
  • Handle scheduling tasks such as calendar management for appointments and meetings
  • Assist with filing, proofreading documents, and organizing office supplies to ensure a smooth workflow
  • Provide customer support through phone etiquette and prompt responses to inquiries
  • Support bookkeeping activities using QuickBooks or similar accounting software
  • Coordinate administrative tasks such as copying, scanning, and mailing documents
  • Maintain organized digital and physical filing systems for easy retrieval of information
  • Support personal assistant duties as needed, including managing correspondence and supporting office management functions

Requirements

  • Proven experience in an office environment or clerical role, with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent phone etiquette and customer service skills; bilingual abilities are a plus
  • Strong organizational skills with the ability to manage multiple tasks efficiently within deadlines
  • Ability to type accurately and quickly; familiarity with data entry is essential
  • Previous experience in medical or dental receptionist roles is advantageous but not required
  • Demonstrated ability to handle confidential information discreetly and professionally
  • Strong time management skills with the ability to prioritize tasks effectively
