Job Title: Accounts Payable Associate

Location: Hybrid (Partially Onsite/Remote)- Westbrook, ME

Schedule: Full-Time, 7:30 AM – 4:30 PM

Experience Level: Entry (0–3 years)

Job Summary:

The Accounts Payable Associate is responsible for performing a variety of accounting and administrative tasks, including accounts payable and receivable, employee expense and credit card administration, and customer account maintenance. This role involves accurate data entry, auditing, issue resolution, and coordination with internal teams.

Key Responsibilities:

  • Process accounts payable and receivable transactions accurately and efficiently.
  • Administer employee expense and corporate credit cards, including issuing, activating, suspending, and canceling cards.
  • Review invoices and other financial information for completeness and accuracy before processing.
  • Input and maintain financial data in accounting systems and databases.
  • Audit and reconcile financial transactions to ensure accuracy and compliance with policies.
  • Respond to inquiries and resolve issues from employees, vendors, and internal stakeholders.
  • Maintain centralized customer account data, including sales contracts and agreements.
  • Collaborate with internal teams to clarify policies, exchange information, and resolve account-related issues.
  • Identify process improvement opportunities and assist in implementing solutions.
  • Support collections of overdue accounts and reconcile customer balances.

Required Skills and Abilities:

  • Strong attention to detail with high accuracy in data entry.
  • Ability to multitask, prioritize, and work in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Organized and able to work independently or as part of a team.
  • Proficient in Microsoft Office; experience with accounting software (e.g., SAP) preferred.
  • Customer service-oriented with the ability to interact with diverse stakeholders.

Education:

  • High School diploma or equivalent required.
  • Associate degree or relevant coursework preferred.

Physical Demands:

  • Extensive sitting, phone, and computer use.
  • Hand and arm movements including reaching and typing.
  • Occasionally required to bend, stoop, kneel, or crouch.
  • Vision and hearing sufficient to perform job tasks effectively.

Work Environment:

  • Typical office environment with standard noise levels.
  • Some travel may be required.

Job Type: Contract

Pay: $ $28.00 per hour

Expected hours: 40 per week
