Summary: Under the general direction of the Accounting Manager, the AP Manager is responsible for the processing and correct payment of vendor invoices. The responsibilities include verification of proper payment authorizations, general ledger classifications, identification of available payment discounts, proper recordkeeping, recommendations for process improvement, investigations and supporting schedules and documentation as needed. Fortified with the knowledge gained from these activities, the AP Manager may be called upon to assist with special projects as requested.

Essential Duties and Responsibilities – include the following. Other duties may be assigned.

  • Supervise Accounts Payable staff which includes training, assigning and review of work.

  • Work with receiver/purchase order procedures and identify cost savings opportunities for the company.

  • GR/IR analysis, verification of three-way match for MM invoices in SAP. Coordinate with purchasing & receiving departments in resolving discrepancies and claims with suppliers

  • Enter and post invoices via Seeburger and prepare estimates of expenditures.

  • Prepare estimates for accruals

  • Process all cash disbursements in a timely manner.

  • Responsible for maintaining vendor relationships and file maintenance.

  • Determines proper handling and approval of financial transactions within designated limits.

  • Monitors compliance with generally accepted accounting principles & IFRS and company procedures.

  • Reviews, investigates, and corrects errors and inconsistencies in financial entries, documents, and reports.

  • Expected to define, analyze and report KPI's and metrics to evaluate success and inform decision making

  • Vendor master data creation, maintenance of proper documentation

  • SEEBURGER approve user onboarding, approved authorization matrix, template management for changes to GL classifications

  • Credit card usage compliance, reconciliation, gathering necessary approvals, payment processing.

  • Reconciles statements from foreign and domestic vendors.

  • Environmental reporting - electrical usage for quality department

  • Sales & use tax compliance.

  • Cross-department coordination of insurance documentation, certificates of insurance requests

  • Responsible for W-9, 1099, and ST-3 Forms.

Supervisory Responsibilities: Directly supervises all employees on the Accounts Payable team. Carries out supervisory responsibilities in accordance with the organization's policies and applicable law. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Work to identify and develop core competencies of Accounts Payable team to ensure success.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Bachelor's degree in accounting or finance or equivalent

  • Minimum of 3 years of meaningful, related experience.

LANGUAGE SKILLS

  • Demonstrates excellent oral and written communication skills.

  • Ability to read, analyze, and interpret common financial reports and legal documents.

  • Ability to respond to common inquiries or complaints from regulatory agencies, or members of the business community.

  • Ability to effectively present information to all levels of management and staff.

MATHEMATICAL SKILLS: Ability to work with mathematical concepts, financial ratios, and business equations. Possess strong analytical skills.

REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions.

COMPUTER SKILLS: To perform this job successfully, an individual should have knowledge of web based software and web content management, SAP Database software, Excel, Word, and Power Point.
