RevitalyzeMD is seeking a high-energy, customer-focused, and sales-driven individual to join our team as a Patient Coordinator. This role is critical in creating an exceptional first impression, guiding patients through their aesthetic and wellness journey, and ensuring they receive world-class service. The ideal candidate will thrive in a fast-paced environment, be confident in sales, and demonstrate strong professionalism both in person and over the phone.

Key Responsibilities

1. Patient Experience & Sales

Check Patients In and Out

  • Greet patients warmly, verify appointment details, and ensure all necessary forms and consents are completed.
  • Review treatment plans, educate patients on follow-up services, and ensure a smooth checkout process, including payment collection.

Sales & Service Excellence

  • Confidently educate patients on available services, packages, and skincare products, leading to upsells and cross-sells.
  • Proactively convert inquiries into appointments by effectively communicating the value of our treatments.

Outstanding Phone Skills & Lead Conversion

  • Answer calls professionally and confidently convert leads into scheduled consultations.
  • Handle new patient inquiries, provide pricing estimates, and educate on treatment benefits to ensure bookings.

Patient Financial Management

  • Track patient financial accounts, including deposits, payment plans, and balances.
  • Communicate financial details with transparency while ensuring all transactions are accurately recorded.

2. Provider & Schedule Management

  • Manage Provider Schedules Efficiently
  • Optimize schedules to maximize provider productivity and ensure minimal gaps in appointment slots.
  • Confirm all appointments and ensure pre-treatment instructions are communicated.

3. Daily Communication with Staff

  • Work closely with clinical staff to maintain a seamless patient flow.
  • Communicate any last-minute schedule changes or special patient needs.
  • Assist Providers with Room Turnover & Patient Prep
  • Help flip treatment rooms, clean and numb faces, and assist providers with chart photos.
  • Ensure a smooth patient experience by preparing them for treatments as needed.

4. Office Management & Organization

  • Maintain an Organized and Upscale Office Environment
  • Ensure all patient areas are clean, well-stocked, and inviting.
  • Keep reception, consultation rooms, and treatment areas aesthetically appealing.
  • Inventory & Retail Management
  • Oversee select inventory categories, track product sales, and reorder supplies as needed.
  • Educate patients on skincare products, promotions, and retail opportunities.
  • General Office Maintenance
  • Assist with laundry, cleaning treatment rooms, and keeping supplies stocked.
  • Ensure treatment areas are always prepared for patient visits.

5. Social Media Engagement & Brand Presence

  • Support Marketing Initiatives
  • Help with uploading social media stories, responding to DMs/comments, and engaging with followers.
  • Assist in capturing and sharing behind-the-scenes content to help promote treatments and patient transformations.
  • Promote Specials & Services
  • Ensure patients are aware of any monthly promotions, new services, or loyalty programs.
  • Actively participate in encouraging patient engagement with online content and reviews.

6. Communication & Administrative Duties

  • Strong Phone & Communication Skills
  • Handle a high volume of calls professionally and efficiently to ensure seamless scheduling and patient support.
  • Conduct outreach calls to follow up with leads and past patients to drive rebookings and sales.
  • Administrative & Record Management
  • Ensure all patient records are accurate and up-to-date in the electronic medical record (EMR) system.
  • Assist in tracking performance metrics, appointment conversions, and revenue contributions.

7. Team Collaboration & Problem Solving

  • Support Clinical & Sales Teams
  • Work closely with providers to ensure a smooth workflow and help drive sales through patient education.
  • Identify areas for improvement and suggest innovative ways to enhance the patient experience.
  • Patient Concerns & Objection Handling
  • Address patient concerns professionally and confidently, ensuring they feel heard and valued.
  • Overcome objections with strong product and service knowledge, ensuring patients move forward with treatment.

Requirements

  • Over-the-Top Customer Service Skills – You must be confident, friendly, and proactive in engaging with patients.
  • Strong Sales Ability – Experience in sales or the ability to convert inquiries into bookings and upsell treatments is a must.
  • Professional & Polished Communication – Both in-person and over the phone, with a focus on high-level patient engagement.
  • Ability to Multi-Task in a Fast-Paced Environment
  • Familiarity with Aesthetics & Wellness Treatments – While prior experience is not required, knowledge of injectables, hormone therapy, and laser treatments is a huge plus.
  • Previous Experience in a Sales-Driven Role
  • Social Media Skills – Comfort with engaging on Instagram/Facebook, responding to DMs, and helping create social content is a plus.
