Position Description

One full time – full year (260 Days) Permanent exempt position.

Exempt employees are considered "at will" and serve at the discretion of the appointing officer.

Note: This position is designated supervisory and is not represented by a collective bargaining unit.

This position is grant funded and funding is reviewed on a yearly basis. Hours are subject to change after appointment dependent upon grant status.

Under the general direction of the Director of Student Life & Leadership, the 1844 Senior Management Assistant provides leadership and oversight for department operations and student engagement programs. This position is primarily responsible for the Inter Club Council and student organizations. This includes supervising the assigned classified professionals and student employees, managing department budgets, coordinating Associated Student programs and events, and ensuring compliance with District policies and Associated Students bylaws. This position requires in-person leadership at the Ocean Campus and all CCSF Educational Centers across the district. The Senior Management Assistant serves as a critical liaison between student government, resource centers, student clubs, and college departments. The role requires the ability to lead diverse teams, manage multiple priorities, and maintain a student-centered approach to services and decision-making. The successful candidate will lead with cultural humility and a commitment to equity, belonging, and student success.

Job Duties

Please note the duties specified below are representative of the range of duties assigned to the 1844 Senior Management Assistant job class code and not intended to be an inclusive list.

  1. Assists in budget development, resource planning, and fiscal reporting for the purpose of assessing the

needs of staff and resources needs of office, program, operation or section based on research and

consultation with managers and administrative staff; reviewing budget requests; monitoring revenues

and/or expenditures; and performing financial analysis.

  1. Assists assigned administrator and upper management (e.g. development and dissemination of information and documents; organization of special projects, etc.) for the purpose of responding to questions from the Governing Board, Chancellor, district administrators, and the State Chancellor's Office; providing historical documentation; providing professional development opportunities.

  2. Coordinates work and/or planning functions with other offices, programs, agencies, contractors, departments and members of the public; acts as liaison and promotes good working relationships with other offices, programs, agencies, contractors, departments and members of the public; addresses issues relevant to assigned office, program, operation or section with departmental personnel, representatives of other departments and outside agencies, and members of the public, including resolution of problems and complaints; arranges meetings, develops agenda and conducts meetings as needed; participates in department meetings, including making presentations; may represent department at meetings and hearings. for the purpose of completing activities and/or delivering services in a timely fashion and to meet established goals and objectives.

  3. Develops and/or recommends policies, procedures and work practices for an office program, operation or section for the purpose of implementing changes to policies and procedures in compliance with overall City/departmental policies and goals.

  4. Develops and reviews governing board agenda, proposed agenda items, collected from district administrators, production, duplication and distribution of agenda for the purpose of complying with district policies and procedures and ensure accuracy and completeness.

  5. Maintains and updates department Website and databases (e.g. daily updates, governing board agendas, finance reports, etc.) for the purpose of delivering service in compliance with established guidelines and providing information.

  6. Manages the functions of an office, section, operation or program; plans, prioritizes and schedules workload, delegating specific tasks, monitors productivity, and evaluates outcomes for the purpose of ensuring compliance with established departmental policies, procedures and goals as well as legal requirements and regulatory mandates.

  7. Performs a variety of research and reporting functions for the purpose of identifying issues; consulting with departmental personnel and other individuals/experts; and evaluating information and documentation from a wide variety of sources.

  8. Processes a wide variety of complex documents and materials (e.g. time sheets, leave and vacation time, work orders, requisitions, travel reimbursements, budget transfers, etc.) for the purpose of disseminating information in compliance with administrative guidelines and/or regulatory requirements.

  9. Responds to a wide variety of calls, concern and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel.

  10. Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Minimum Qualifications

Possession of a Baccalaureate Degree or Higher from an accredited college or university.

Experience: Three (3) years full-time equivalent experience performing professional-level administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.

Substitution:

Additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration may substitute for the required education on a year-for-year basis. One (1) year (2000 hours) of additional qualifying experience will be considered equivalent to thirty (30) semester units or forty-five (45) quarter units.

Note: College Work Study and Student Lab Aide experience with the District will be considered/ applied as qualifying experience per an agreement made between the District and SEIU . This agreement will allow District students to take advantage of employment opportunities.

Desirable Qualifications

Demonstrated ability to interact empathetically and effectively with a diverse student population.

Ability to perform written and oral communication skills with a high degree of accuracy, and ability to independently compose letters/memos using correct spelling, grammar, punctuation, composition, text editing and proofreading skills.

Demonstrated ability to exercise independent judgment, communicate and interact successfully with students, staff, faculty and administrators.

Demonstrated ability to serve in a customer service capacity, both on the telephone, in person, and using electronic communication systems, while exercising tact and diplomacy with emphasis on flexibility and professionalism.

Excellent organizational skills; demonstrated ability to successfully follow multiple tasks through to completion; must be able to meet established deadlines while working in an environment with frequent interruptions; ability to prioritize job functions to meet deadlines and ensure smooth workflow.

Advising experience in an educational institution, preferably a community college.

Excellent computer skills with demonstrated knowledge of e­-mail and software in the areas of word processing, spreadsheet programs and database management, social media, and other relevant technologies.

Knowledge of college accounting and budget systems, forms, policies, procedures and functions related to purchasing, inventory and personnel transactions.

Ability to communicate both verbally and in writing in more than one language.

Benefits

  1. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, classified employees working full year (260 days/year) work schedules are granted, as paid days off, the days between Christmas and New Year's Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only ( STO ) employees who are not scheduled to work the designated days between Christmas and New Year's Day shall be granted three (3) paid days off to be scheduled by mutual agreements between the employee and supervisor. Eligible school-term-only ( STO ) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.

  2. New employees hired on or after October 1, 2013, will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund ( RHCTF ).
