Overview

The Purchasing Associate is delegated full authority to ensure the proper performance of duties and responsibilities assigned to the position within the established plans, practices, policies, and procedures of the company.

  • The authority to question and veto purchase requests by employees, whether or not purchase amount is within their approved purchasing limit.

DUTIES AND RESPONSIBILITIES:

  • Order materials from vendors as required. Buy competitively, fixing price, delivery, and terms. Negotiate for optimum buys, taking into account quantity discounts whenever possible. Request accompanying data, information, and statistics as needed.
  • Continually examine product and service usage to identify where savings can be gained through reduction in usage, alternative products, reuse of items instead of disposing, better management, elimination of unnecessary products, etc.
  • Maintain complete records on possible vendors of materials used by the company, including items available, costs, price breaks, and vendor contact for appropriate information and quoting.
  • Maintain an Approved Vendor list for quality related products as required by company Quality Policy and quality system standards company is certified to. Evaluate approved vendors for quality, price, and delivery performance.
  • Design and maintain a purchasing filing system that allows for quick and easy access to purchase orders by status, vendor information, and product information.
  • Monitor and maintain company stores. Institute and maintain monthly reporting and inventory status reports as required. Resolve inventory discrepancies. Recommend documented methods to prevent recurrences.

Basic qualifications

  • Experience in purchasing or procurement within a manufacturing environment.

Preferred qualifications

  • The degree of ability to negotiate and procure goods and services for the best prices, terms, and conditions.
  • The degree of ability to monitor and follow up on all orders to ensure that goods and services are delivered as scheduled and needed.
  • The degree of ability to maintain the purchase order system and related paperwork and computer data on a complete, current basis.
  • The degree of ability to manage the store, maintaining appropriate inventory levels, and produce monthly reports on quantities and value.
