Summary/Objective:
The Service & Contract Coordinator provides administrative and scheduling support for Compu Dynamics' Service and Contract departments. This position assists with daily service dispatching, preventative maintenance (PM) scheduling, contract recordkeeping, and overall coordination between customers, technicians, and internal teams. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment under direct supervision.

Essential Functions:

  • Service Scheduling & Dispatch
  • Assist in scheduling and dispatching Service Technicians for maintenance, repairs, and PMs.
  • Communicate real-time schedule updates and changes using Tech Tool or Sage Dispatch.
  • Confirm daily completion of technician time entries and work summaries.
  • Track missed PMs and collaborate with leadership to reschedule as needed.
  • Customer Communication & Support
  • Make follow-up calls to customers to ensure satisfaction with completed service work.
  • Provide clear and timely updates to customers regarding scheduling or delays.
  • Maintain a high level of professionalism with clients, vendors, and technicians.
  • Support the Service Manager in addressing customer inquiries and escalations.
  • Contract Administration & Documentation
  • Enter and maintain accurate records for all service contracts and agreements.
  • Assist in preparing, reviewing, and revising service-related contracts.
  • Coordinate with vendors and internal teams to ensure contract compliance and delivery.
  • Compile data and generate contract-related reports as requested.
  • Administrative Coordination
  • Support the Service and Contracts teams with administrative tasks, scheduling, and reporting.
  • Maintain organized electronic records, job folders, and service documentation.
  • Coordinate repair part orders and pickup logistics with technicians.
  • Operate office equipment safely and follow company safety protocols.
  • Team Alignment & Continuous Improvement
  • Participate in department meetings to support operational efficiency and communication.
  • Collaborate with Accounting and Service Operations on billing and renewals.
  • Identify and recommend process improvements within scheduling and contract workflows.
  • Uphold Compu Dynamics' values by promoting teamwork, professionalism, and integrity.

  • Proficiency with Microsoft Office Suite; experience with SAGE or Tech Tool preferred

Supervisory Responsibility:
No supervisory responsibilities.

Work Environment:
This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, copiers, etc.

Physical Demands:
The employee is occasionally required to stand, walk, sit, and use hands to handle or feel objects. Must occasionally lift or move office products and supplies up to 20 pounds.

Position Type:
This is a full-time position.

Required Education and Experience:

  • High School diploma or equivalent
  • 0–2 years' experience in administrative support, service coordination, or contracts

Preferred Education and Experience:

  • Associate's or Bachelor's degree in Business, Management, or related discipline
  • Experience in HVAC, Electrical, or Construction industry
  • Familiarity with data center or critical facility operations

Compu Dynamics Pay Range

$22—$35 USD

Compu Dynamics offers a comprehensive benefits package

  • Boot Reimbursement – up to $150 annually, available from your first day.
  • Tool Reimbursement – $250 annually, available after 60 days.
  • Tuition Reimbursement – up to $5,000 annually for approved educational programs.
