Position Overview:

We are seeking a friendly, organized, and motivated Intake Specialist / Office Clerk to join our growing administrative team. This position is vital to ensuring a positive first impression for families and maintaining accurate, compliant documentation throughout the intake process.

The ideal candidate isprofessional, detail-oriented, and a strong team player—someone who enjoys helping others, communicates clearly, and can manage multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Greet and welcome clients and families with a positive, professional attitude
  • Provide exceptional customer service both in person and over the phone
  • Verify insurance coverage and assist with insurance-related documentation
  • Contact families to guide them through the intake process and help collect all required documentation
  • Ensure all client files and records are accurate, complete, and up to date
  • Support the Authorization Department in reviewing forms, verifying authorizations, and maintaining compliance with agency standards
  • Manage digital filing systems, ensuring confidentiality and organization
  • Answer and direct phone calls, take messages, and assist with general inquiries
  • Conduct outreach visits to local doctors' offices, clinics, and community centers to distribute flyers and promote Brightstar Kids Services
  • Collaborate with other departments (Authorizations, Staffing, Documentation, etc.) to support smooth onboarding for clients and support through their services
  • Be open to cross-training in related administrative areas and take on new tasks as needed
  • Assist with general clerical duties such as scanning, faxing, emailing, and data entry

Qualifications:

  • High school diploma or equivalent (associate's degree preferred)
  • Prior experience in administrative support, medical office, or intake coordination preferred
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office and Google Workspace
  • Professional, positive, and team-oriented demeanor
  • Ability to multitask and adapt to changing priorities
  • Bilingual (English/Spanish) required
