We are seeking an energetic, people-person with a knack for organization, multi-tasking and keeping calm in a busy work environment. Our ideal candidate will have experience in customer service and knowledge of the veterinary industry. A high school diploma is required; secondary education is preferred. This position will be approximately 32-38 hours per week; evenings and Saturdays are a must.

Primary Receptionist Duties:

The receptionists at our clinic ensure that clients and pets are treated as family. They should be warmly welcomed when arriving at the clinic. You will check in the patient on the computer, update the client's information and monitor wait times for clients. You will also be responsible for answering 3 phone lines (with help from other team members) promptly and courteously. You will handle all calls as expediently as possible while still treating clients with respect and answering all of their questions accurately. You will learn to ask appropriate questions about a pet's symptoms to ascertain the urgency of their condition, deferring the call to a Registered Technician or Doctor when necessary. You will schedule appointments and learn when, where and how to do so in a way that permits the day to flow as smoothly as possible. Our receptionists are well-versed in our over-the-counter products, as well as our prescriptions drugs, food and the services we provide; and specifically, which doctor has a special interest in certain areas. When clients and pets are finished with their visit, they are anxious to check out and be on their way. It is your job to efficiently review the invoice for accuracy, post the invoice, accept and post the client's payment and schedule any future appointments. It may be necessary for you to explain certain charges to the client's satisfaction. You will need to discuss payment options with clients; preferably before services are rendered. You will follow our clinic financial policies firmly, yet attempt to do so in such a way as to not make potential clients upset (although some will be). You will need to keep our accounts receivable accurate, specifically balancing at the day's end. Hopefully you will be the kind of person who would hate for the deposit to ever be "off".

There are many other minor duties, such as monitor incoming client communications via text and email and returning messages to clients, cleaning the front desk area, emailing documents and prescripion authorizations, making phone calls to remind of upcoming appointments, etc. You will receive training in all of these areas so you can improve your skills over time.
