We are currently hiring for a part-time Access and Engagement Coordinator to join our front-office team. This role is essential in helping clients access services, feel welcomed, and stay connected to care.
Key Responsibilities:
Client and Visitor Support:
- Greet clients, visitors, and staff with warmth, professionalism, and confidentiality.
- Ensure client confidentiality per HIPAA and 42 CFR Part 2 regulations.
- Provide directions and general information about Fjord Counseling services.
- Communicate promptly with clinical staff when clients cancel or need rescheduling.
Scheduling and Communication:
- Manage incoming calls, voicemails, and emails; triage and route messages appropriately.
- Support scheduling of appointments, cancellations, and reschedules within the electronic health record (EHR) system.
- Coordinate with the Clinic Administrator on provider schedules and coverage.
Administrative Operations:
- Support intake processing by verifying insurance benefits, obtaining authorizations, and entering client data accurately into the EHR.
- Assist with scanning, filing, and document management in compliance with clinic policy and OHA documentation standards.
- Maintain clinic cleanliness, organization, and a trauma-informed, inclusive environment.
- Prepare and distribute mail, faxes, and deliveries.
- Help clients complete intake paperwork and troubleshoot barriers to onboarding.
- Help maintain the new client waiting list in collaboration with the Clinic Administrator.
- Monitor and restock clinic supplies, ensure shared spaces are tidy and welcoming, and support daily clinic flow and cleanliness.
- Participate in outreach activities and support relationship building with community-based providers and social service agencies.
Compliance and Confidentiality:
- Adhere to all Fjord Counseling policies, including HIPAA, 42 CFR Part 2, OAR standards, and COA administrative requirements.
- Immediately report incidents, safety concerns, or potential breaches of confidentiality according to the Incident Reporting Policy.
- Participate in required training related to confidentiality, safety, cultural competency, and trauma-informed care.

Qualifications
Required:
- High school diploma or GED.
- Minimum one year of administrative, reception, or customer service experience in a professional setting within behavioral health or a related field (i.e. medical/dental)
- Demonstrated ability to manage confidential information responsibly.
- Proficiency with Microsoft Office and comfort learning electronic health record (EHR) systems.
- Strong interpersonal, organizational, and communication skills.
- Commitment to equity, inclusion, and trauma-informed practice.
Preferred:
- Experience working in a healthcare or behavioral health setting.
- Familiarity with insurance verification, billing processes, or EHRs (e.g., SimplePractice).
- Bilingual (English/Spanish or English/ASL) strongly preferred.
Working Conditions
- Office environment with regular client and staff interaction.
- Scheduled shift of approximately 5 hours per day (8:30 a.m.–2:00 p.m.) Monday, Wednesday, Thursday and (11:30 p.m. – 5:00 p.m.) Tuesday and Friday.
- Occasional extended hours for staff meetings or training may occur with notice.
Physical Requirements
- Ability to sit, stand, and move within the office environment for extended periods.
- Use of computer, telephone, and standard office equipment required.
- Must be able to lift and carry up to 25 lbs occasionally (e.g., supplies, packages).
Compensation and Benefits
- Hourly Range: $20.00 – $23.00 per hour, DOE.
- Part-time benefits package, retirement contributions, and sick time.
