Provides professional, high-quality support within the back office of the organization while maintaining strong relationships with patients, caregivers, and business office departments. The DME Intake Specialist assists patients with Durable Medical Equipment (DME) orders, applying medical billing knowledge and exceptional customer service skills to manage referral and intake procedures, coordinate scheduling, and communicate clearly via telephone, email, and fax.

Responsibilities and Duties:

  • Provide professional, high-quality support to patients, caregivers, and referral sources over the phone and by email
  • Assist patients with setting up auto-pay and help them understand billing procedures
  • Enter orders for select Durable Medical Equipment (DME), including breast pumps, knee scooters, bath aids, and incontinence supplies
  • Accurately process consignment equipment requests using paper-based forms
  • Collect required medical documentation from healthcare providers and referral sources
  • Check insurance coverage and confirm eligibility for referred equipment and services
  • Ensure all coverage criteria are met, and documentation is complete and properly filed
  • Clearly explain equipment and financial responsibilities to patients and caregivers
  • Enter patient information, create sales orders, and file documentation in the system
  • Work closely with internal teams to ensure smooth service delivery
  • Provide empathetic and responsive phone support, actively listening to patient needs
  • Monitor and respond to incoming faxes, emails, and phone calls throughout the day
  • Demonstrate core values when interacting with patients and colleagues
  • Willingly accepts other duties as assigned.

Minimum Knowledge, Experience & Skills Requirements:

  • High school diploma or equivalent (required).

  • 1-2 years of healthcare or clinical/administrative experience or at least 6 months in the Customer Service Specialist 1 role (required).

  • 2 years or more in a healthcare intake or clinical setting, Home Health or Hospice (preferred)
  • Medical terminology experience (preferred)
  • Strong knowledge of computer functions and basic Microsoft Office applications. Detail oriented, excellent documentation skills, and the ability to follow through to the end.

  • Must be organized, detail-oriented, and possess effective communication skills.

  • Must be capable of prioritizing and handling multiple tasks of critical importance and function well in an atmosphere of stress.
  • Possess knowledge of medical terminology within Home Health or Hospice.
  • Must provide excellent customer service to clients and maintain professionalism, including professional phone etiquette.
  • Ability to effectively and clearly communicate with multiple agency staff, while executing daily tasks.
  • Must maintain the privacy and confidentiality of all staff and clients in line with HIPAA standards.

Essential Functions & Work Requirements:

  • Ability to effectively communicate at all levels within the organization through written and two-way verbal communication.
  • Attention to detail to ensure overall patient care.
  • Able to read and write at a high school graduate level.
  • Able to lift 10 to 20 pounds.
  • Able to sit or stand for extended periods of time.
  • Able to operate various office equipment (e.g., personal computer, telephone, fax machine, copier, etc.)
  • Able to work normal office hours to meet established deadlines.
  • Available to work (40 hours/week) Monday- Friday during our normal business hours (8:00 – 5:00).
