Job Title: Front Desk Associate
Location: Bilingual Speech – Language & Swallowing Therapy
Reports to: Director of Operations
Position Summary:
The Front Desk Associate plays a vital role in the smooth and efficient operation of the office. This individual is responsible for managing daily front desk activities, supporting administrative functions, and ensuring a positive experience for all patients and visitors. The ideal candidate is highly organized, customer-service oriented, and able to manage multiple tasks in a fast-paced environment.
This position is ideal for candidates with 1–3 years of front desk, administrative, or customer service experience, preferably in a healthcare or office setting. Bilingual abilities in Spanish or Mandarin are strongly preferred.
Key Responsibilities:
- Create and maintain a welcoming and professional environment for all visitors and staff
- Greet patients and clients upon arrival, ensuring a friendly and efficient check-in process
- Answer incoming phone calls, respond to emails and text messages, and manage appointment scheduling
- Maintain a clean, organized, and inviting front desk and waiting area
- Collect and review new patient forms, including medical history and required documentation
- Assist patients with completing paperwork (e.g., demographic forms, release of information)
- Update and verify patient information such as insurance details and payment methods
- Collect co-pays and other payments; follow up on outstanding balances or payment plans
- Manage and update patient therapy schedules using scheduling software
- Support therapists with scheduling changes and time-off requests
- Ensure intake forms are up to date and comply with clinic or office protocols
Qualifications:
- 1–3 years of experience in a front desk, administrative, or customer service role (healthcare or office setting preferred)
- Excellent verbal and written communication skills in English; fluency in Spanish or Mandarin is a strong plus
- Strong customer service and interpersonal skills
- Detail-oriented with strong organizational and multitasking abilities
- Proficient with computers and scheduling or EMR software (training available)
- Positive attitude, strong work ethic, and ability to work well in a team environment
- Ability to translate information and support non-English-speaking patients as needed
