Job Summary
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our team and team leader. Please note that this position is grounded at our dispensary shop but may have some tasks off site as well. The ideal candidate will possess strong administrative skills and a keen attention to detail, ensuring that all tasks are completed efficiently and effectively. This role requires a versatile individual who can manage multiple responsibilities, including scheduling, calendar management, and office management. We're a small business but growing fast. Must be good with dogs and also good with being around legal cannabis products.
Responsibilities
- Provide executive administrative support, managing calendars and scheduling appointments using Microsoft Outlook Calendar and Google Workspace.
- Coordinate and plan events, ensuring all logistics are handled smoothly.
- Maintain accurate records through data entry, filing, and bookkeeping using QuickBooks.
- Handle phone etiquette with professionalism while managing multi-line phone systems.
- Assist with project coordination by tracking progress and deadlines.
- Conduct proofreading and transcription of documents to ensure accuracy.
- Manage office operations, including clerical tasks and front desk duties as needed.
- Deliver exceptional customer service by addressing inquiries and providing assistance to clients and team members.
Qualifications
- Proven experience as a Personal Assistant or in an administrative role with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks for bookkeeping tasks is preferred but not mandatory.
- Excellent typing skills with attention to detail for data entry tasks.
- Strong communication skills with the ability to maintain professionalism in all interactions.
- Valid Driver's License and a reliable means of transportation.
- Ability to work independently while managing multiple priorities effectively.
