Job Description
As a Travel Logistics Coordinator at the Human Rights Foundation, you will play a crucial role in ensuring the smooth execution of all our events, travel, and transportation needs. You will be responsible for managing logistics related to staff, speakers, and comped attendees. Your attention to detail and exceptional organizational skills will be essential as you oversee travel arrangements, ground transportation, and hotel accommodations for event participants.
Key Responsibilities
- Coordinate and manage logistics for all HRF events, including conferences, seminars, and workshops.
- Facilitate communication with staff, speakers, and comped attendees to gather necessary information for logistics planning.
- Arrange and oversee travel arrangements, including flights, ground transportation, and accommodations.
- Manage hotel room blocks, ensuring reservations and room assignments are handled efficiently.
- Utilize tools such as Excel, , Airtable, and expense tracking software to maintain accurate records of expenses and logistics details.
- Collaborate with event planning teams to ensure logistical needs are met, and events run smoothly.
- Troubleshoot and address any logistical issues that may arise during events.
- Assist with post-event evaluations to identify areas for improvement in logistics processes.
Qualifications
- Bachelor's degree in event management, hospitality, or a related field (or equivalent work experience)
- Proven experience in logistics coordination, preferably in an event or conference setting.
- Exceptional organizational skills with a keen attention to detail.
- Proficiency in Google Workspace, , Airtable, and expense tracking software.
- Strong communication and interpersonal skills.
- Ability to work under pressure and adapt to changing circumstances.
- Knowledge of group booking procedures and best practices.
- A passion for human rights and the mission of the Human Rights Foundation.
Compensation
The salary range for this position is $55,000 – $65,000/year and commensurate with experience. We offer a generous benefits package that includes fully covered medical, dental, vision and life insurance; flexible PTO plan and comprehensive company-paid holiday schedule; and many other voluntary benefits.
