Summary
At DSV, The Administrative Specialist, Talent Acquisition Support plays a vital role in ensuring the operational efficiency of the Talent Acquisition (TA) function. This position provides administrative and coordination support to recruiters, manages external staffing agency agreements, assists with compliance tracking, and maintains accurate recruitment data and documentation.
Duties And Responsibilities
- Provide day-to-day administrative support to the Talent Acquisition team across multiple divisions (Road, Air & Sea, Contract Logistics).
- Assist recruiters with interview scheduling, candidate correspondence, onboarding coordination, and offer documentation.
- Support the requisition creation and posting process within the Applicant Tracking System (ATS), ensuring accuracy and compliance with internal policies.
- Maintain and update TA dashboards, reports, and trackers (e.g., open requisitions, agency usage, cost-per-hire, time-to-fill, etc.).
- Prepare and distribute weekly and monthly TA reports for leadership and HR partners.
- Manage and maintain all staffing agency and vendor agreements, ensuring proper documentation, approvals, and renewals.
- Track and maintain a centralized staffing agency database with current contacts, fee schedules, and contract expiration dates.
- Serve as a point of contact for internal stakeholders regarding agency process questions, documentation, and status of requests.
- Assist with career fair coordination, event registration, materials, and logistical setup when required.
- Maintain all confidential recruitment records in compliance with DSV's global HR data standards and applicable employment laws.
- Contribute to process improvement initiatives to streamline administrative workflows and enhance TA team efficiency.
- Audit files and system records to maintain data integrity within ATS and shared HR systems.
- Maintain strict confidentiality regarding sensitive employee, candidate, and vendor information.
Skills & Competencies
- Strong organizational and administrative skills with excellent attention to detail.
- Ability to handle multiple priorities and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong analytical and reporting abilities.
- Experience with HR systems or Applicant Tracking Systems (ATS) preferred.
- High level of professionalism, discretion, and confidentiality.
- Collaborative and customer service oriented mindset.
- Strong problem solving and follow through abilities.
Educational Background / Work Experience / Qualifications
- Associate or Bachelor's degree in Business Administration, Human Resources, or related field preferred; equivalent administrative experience considered.
- 1+ years of experience in an HR, recruiting, procurement, or administrative support capacity preferred.
- Experience in a logistics, transportation, or supply chain environment a plus.
Language Skills
- Business fluent in English
- Preferably good command of local language
Computer Literacy
- Highly proficient in Microsoft Office Software (Excel, Word, PowerPoint, and others)
- Experience working with sourcing tools and Applicant Tracking Systems
Physical And/or Mental Requirements / Working Conditions
While performing the duties of this job, the employee is frequently required to stand. The employee is often required to walk and use hand and eye coordination. Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus.
Work Hours and Environment
Normal working hours for this position are Monday – Friday from 8:30 AM to 5:30 PM, however, working beyond these hours will be required by business needs.

For this position, the expected base pay is: $ $29.09 / Hourly. Actual base compensation will be determined based on various factors including job-related knowledge, geographical location, skills, experience, and other objective business considerations.
