Legal Billing Analyst

The Legal Billing Analyst is responsible for handling all aspects of the client billing cycle, ensuring that draft edits and the mailing of client bills are completed effectively, efficiently, and accurately, and that accounts receivables are tracked and pursued.

Responsibilities and Duties:

· Prepares weekly, monthly, quarterly and year end reports for clients and team.

· Applies firm, IP, and client specific billing guidelines, fee schedules, processes and systems.

· Reviews & distributes draft; edits bills, as needed.

· Prepares bills, e-bills, letters and discount summaries prior to sending out.

· Opens and requests CIMS (Customer Invoice Management System) on request.

· Tracks all account receivables; communicates balances; and follows up with past due clients concerning payment of account receivables.

· Ensures that all client billing information, including client and matter rate information, tax and activity codes, etc. is accurate, and communicates any necessary changes to supervisors and operations.

· Reviews and verifies the accuracy of billing and supporting documentation.

· Submits invoices for client payment using email and/or online billing portals.

· Emails/mails invoices to clients.

· Responds to client billing questions and inquiries by researching the facts, determining the status of the issue, taking required actions, partnering with supervisors, and responding in an accurate and timely manner.

· Participate in special projects as needed.

Knowledge, Skills, and Abilities:

· A Bachelor's degree is preferred from an accredited college or university. Equivalent combination of an Associates degree and/or work experience will be accepted.

· Three to five years of experience in client billing in a similarly sized, multi-office professional services organization.

· Excellent interpersonal, written, and verbal communication skills are required. Proven analytical and problem-solving skills.

· Detail-oriented, organized and have strong ability to read, analyze, and process complex bills. Ability to multi-task and prioritize workloads. Ability to present ideas in a business-friendly and user-friendly language.

· Excellent computer skills and knowledge of MS Office Suite with proficiency in Outlook and Microsoft Office skills are required. Advanced knowledge of Excel. Demonstrated technical knowledge and skills: Must possess discretion in working with confidential data, chart of accounts, strong proofreading skills, etc. Experience with QuickBooks, TABS or similar accounting and timekeeping programs, is highly preferred.
