The Office of the Registrar hires for the needs of the entire office; however, this position will initially support core administrative and operational functions. Must be eligible to work in the United States on a full-time basis for any employer.

This position requires a self-motivated individual who demonstrates strong interpersonal skills and sound decision-making abilities. The role involves performing advanced and complex activities related to the office's core processes, requiring attention to detail, technical expertise, and sound judgment. Tasks are often demanding and may require interpretation of policies, problem-solving, and analytical skills. The responsibilities of this position require an autonomous, ethical individual who provides direction, guidance, and support to other staff members in a communicative and timely manner. Providing administrative support, assistance to senior management, and producing reports or presentations for campus use is expected.

Responsibilities

  • Conduct various activities in the Office of the Registrar, including but not limited to assisting students, faculty, and staff in person, by phone, or via email regarding academic records, university policies, and administrative processes. Provide general consultative support at Texas One Stop.
  • Process requests related to academic records, transcripts, course information, and other Registrar-managed data. Enter, update, and verify the accuracy of records in university systems. Maintain and organize documents, write and edit office correspondence, and compile information for reporting purposes.
  • Research and retrieve data to respond to inquiries and requests from the university community or external entities. Troubleshoot customer inquiries, issues, and complaints, providing timely and accurate resolutions.
  • Coordinate the exchange of information with academic and administrative offices consistent with institutional policy, state law, and federal regulations. Communicate information and data to students, faculty, staff, and reporting entities.
  • Represent the office as a departmental liaison. Serve as lead for one or more functional tasks or projects within the unit.
  • Actively participate in meetings, training, and presentations. Analyze, interpret, and present data or process updates. Participate on and support office and cross-campus project teams.

Required Qualifications

Bachelor's degree and at least three years of administrative experience. Demonstrate competency in the use of the Microsoft Office suite and Adobe Acrobat. Demonstrate adaptability, experience working in a team setting, attention to detail, ability to engage, be motivated in the work environment, both strong written and oral communication, and strong interpersonal communication skills. Ability to display tact and professionalism, work cooperatively in the office environment, and provide excellent customer service. Require minimal supervision and use of time efficiently. Respond to requests for service and assistance. Exhibit sound and accurate judgment. Demonstrate persistence and overcome obstacles. Ability to take initiative in working both independently and in cooperation with others.

Relevant education and experience may be substituted as appropriate .

Preferred Qualifications

Experience with student academic records in a university setting. Experience working with the UT Mainframe. Extensive experience in a position that demonstrated advanced competency in direct customer service, problem-solving, process improvement or related job knowledge. Proven ability to analyze issues and offer practical solutions. Demonstrated organizational ability, negotiation skills, and ability to work under pressure. Experience in identifying and resolving problems in a timely manner. Experience learning, understanding, interpreting, and explaining complex policies and/or legislation. Proven ability to analyze issues and offer practical solutions. Experience working in a university environment and assisting individuals from varioius cultures. Strive to continuously build knowledge and skills. Experience managing student workers/employees.

Salary Range

$50,010
