Position Summary:

The Customer Outreach Associate plays a key role in supporting the administration department and call center operations. This position is responsible for initiating and managing outbound and inbound communications with employers and customers, coordinating document submissions, and ensuring smooth workflow between departments. The associate will also assist with wage follow-up tasks, document uploads, mailroom operations, and basic office maintenance duties.

Key Responsibilities:

Customer & Employer Communication

  • Conduct outbound calls to employers regarding wage status and related follow-ups.
  • Handle inbound calls, faxes, texts, and emails from customers or employers, ensuring accurate and timely responses.
  • Communicate with various departments to route and resolve customer or employer inquiries efficiently.

Document Management

  • Upload and organize required documents for new customers.
  • Manage incoming and outgoing faxes and digital communications.
  • Ensure all documents are properly filed, labeled, and accessible for relevant departments.

Mailroom & Administrative Support

  • Process inbound and outbound mail, including interoffice mail distribution.
  • Prepare outgoing correspondence, wage verification forms, and other departmental documents.
  • Maintain mailroom supplies and equipment.
  • Email and Task Coordination
  • Monitor the "RT Glance" and shared inboxes daily, sorting and routing emails by department.
  • Track pending wage tasks and ensure timely completion or follow-up.
  • Coordinate with other departments to ensure workflow consistency and task resolution.

Office Support & Maintenance

Assist with general office organization and light maintenance (e.g., restocking supplies, maintaining cleanliness).

Provide backup support for administrative staff when needed.

Work Environment:

  • Office-based position within the Administration and Call Center area.
  • Regular use of computer, phone, fax, and other standard office equipment.
  • May require occasional lifting (up to 20lbs) for mailroom and office supplies.

Requirements:

Qualifications:

  • High School Diploma or equivalent required; some college preferred.
  • 1–2 years of administrative or call center experience preferred.
  • Strong communication skills, both verbal and written.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel) and fax/email systems.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Excellent organizational and time management skills.
