Job Summary

We are looking for a full-time Receptionist/Administrative Support Specialist to be the first impression of the company, in person and over the phone. The Receptionist/Administrative Support Specialist creates a welcoming and hospitable experience for all customers and guests. This position greets and guides customers, vendors and other visitors. The role also includes administrative duties including distributing correspondence, sending out mail, directing phone calls and providing support to various individuals and departments across the organization as needed or assigned.

Job Duties

  • Answers, screens and directs inbound phone calls to the correct individuals/departments, following established phone/transfer practices.
  • Assesses caller's needs, answers basic questions and connects them to the best party to assist.
  • Greet and welcome guests as soon as they arrive at the office, notifies appropriate individuals and ensures visitors get to their scheduled meetings.
  • Distribute incoming mail, post and send outbound mail daily.
  • Tracks and recognizes/announces employee birthdays daily.
  • Works to support other departments such as Accounting, Pricing, and Human Resources, with elements of their daily workflow, including:
  • Prepares and mails invoices and statements
  • Performs data entry to support various departmental processes
  • Maintain filing systems, both physical and electronic
  • Scans previous day's pick slip labels into the ERP system accurately
  • May provide support for company event planning and execution
  • Special projects as assigned
  • Back up other receptionists in duties when needed.
  • Other duties as assigned.

Qualifications

  • High school diploma
  • Proven work experience in customer service or as a Receptionist/Front Office Representative or similar role preferred
  • Proficient in Microsoft Office Suite including Word, Excel and Outlook
  • Experience with office equipment preferred
  • Customer service oriented
  • Professional demeanor and appearance
  • Strong written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Organized, with follow-through to meet deadlines independently
  • Time-management skills, with the ability to prioritize tasks

Hours

This is a full-time hourly position. Regular schedule between the hours of 7:30 AM and 5:30 PM, Monday through Friday. Occasional overtime required.

Rate of Pay

The anticipated starting pay range for this position is $18-$22/hour

Working Conditions

Office work environment (remote/hybrid work not available). Company headquarters also includes a warehouse setting.

Physical Requirements

Able to do the essential functions of office position. This includes bending, stooping, kneeling and repetitive functions related to standard office - desk role.
