The Role: This Isn't for Everyone—And That's By Design

We're looking for an Accounting & Operations Support Specialist who thrives in a detail-driven, process-oriented environment. This isn't a "sit in a cube and process invoices" job. You'll work closely with our Controller and support multiple departments—owner, operations, purchasing, sales—juggling priorities and keeping the back office running smoothly.

What You'll Actually Do:Daily/Weekly Accounting Operations:

  • Post customer payments and prepare daily bank deposits
  • Run weekly payables and ensure vendors are paid on time (capturing early-pay discounts when possible)
  • Open and distribute incoming mail
  • Match invoices to purchase orders and enter into RFMS (our flooring-specific software)

Commercial Job Support:

  • Enter commercial projects into RFMS, assigning material and labor lines for each contract
  • Job cost and invoice customers in a timely, accurate manner
  • Send quotes and invoices to customers as needed

Vendor & Purchasing Support:

  • Work with the warehouse to verify correct materials were received
  • File claims for discrepancies or damaged materials
  • Verify correct pricing from vendors

Cross-Department Coordination:

  • Support the owner, operations partner, and installation manager with ad-hoc requests
  • Manage your own time and priorities when multiple people need things from you
  • Proactively clarify deadlines and urgency instead of guessing

Requirements:

  • 3-5 years of AR/AP or bookkeeping experience (construction, retail, or similar fast-paced environments preferred, but not required)
  • High attention to detail (this is non-negotiable)
  • Strong organizational and time-management skills
  • Comfortable with direct feedback and high standards
  • Proficiency in Microsoft Excel and Outlook
  • Ability to learn new software quickly (we use RFMS, a flooring-specific system—we'll train you, but you need to be able to pick it up)
  • Strong communication skills (you'll need to ask clarifying questions, follow up proactively, and work with multiple departments)

Preferred (But Not Required):

  • Experience in flooring, construction, or building materials industry
  • Familiarity with job costing or project-based accounting
  • QuickBooks or other accounting software experience
