As we scale, we are building a world-class operations team — and the Scheduler is a critical engine in driving our service delivery and client satisfaction.

Position Overview

The Scheduler is responsible for creating and maintaining accurate caregiver schedules, resolving last-minute call-outs, ensuring all shifts are staffed, and providing proactive communication to caregivers, clients, and internal teams.

This role requires someone who thrives under pressure, communicates clearly, and maintains order even when multiple priorities hit at once.

Key Responsibilities

  • Manage day-to-day scheduling for all clients across Palm Beach and Broward counties.
  • Maintain caregiver availability, preferences, and compliance requirements.
  • Handle real-time call-outs and staff replacements using a structured escalation workflow.
  • Provide timely updates to clients and caregivers regarding schedule changes.
  • Build strong relationships with caregivers to drive reliability and retention.
  • Coordinate scheduling in both HHAeXchange (Medicaid) and WellSky (Private Pay/LTC).
  • Monitor missed visits, late starts, and EVV compliance.
  • Maintain accurate documentation, notes, and follow-up communication.
  • Support the Operations Manager with daily staffing reports and KPIs.

Qualifications

  • Previous experience as a Scheduler, Care Coordinator, or similar role in home care or healthcare strongly preferred.
  • Strong communication skills — written, verbal, and professional.
  • Ability to stay calm and solution-oriented in a fast-paced environment.
  • Proficiency with scheduling systems; experience with HHAeXchange or WellSky is a major plus.
  • Problem-solver with a proactive mindset and high attention to detail.
  • Must be highly organized and comfortable managing multiple priorities at once.
  • Bilingual (English/Spanish or English/Creole) is preferred but not required.
