You will play a central role in coordinating daily operations, optimizing vendor relationships, and supporting strategic initiatives that keep our offices running smoothly and our teams performing at their best.

Core Responsibilities

  • Champion Operational Excellence: Establish and maintain quantitative and qualitative metrics, guidelines, and standards by which the firm's efficiency and effectiveness can be measured—then identify and implement opportunities for continuous improvement.
  • RFP Evaluation & Analysis: Gather, evaluate, and compare Requests for Proposals (RFPs) to support informed decision-making and vendor selection.
  • Operational Communications: Manage incoming operational calls, emails, mail, and deliveries, ensuring timely response and smooth information flow across departments.
  • Office Management: Maintain supplies, oversee vendor services, and ensure the Leesburg office remains organized, professional, and welcoming for staff and visitors alike.
  • Vendor & Contract Oversight: Maintain and track vendor agreements and renewals across all offices to ensure compliance, cost efficiency, and service consistency.
  • Technology Enablement: Develop a strong understanding of firm software systems and assist in onboarding new employees to ensure they are trained and supported effectively.
  • Event & Meeting Coordination: Partner with the Operations Director to plan and execute firm events, meetings, and initiatives that foster engagement and collaboration.
  • Project Management: Efficiently manage assigned projects from planning through completion, including progress tracking and results reporting.
  • Administrative Excellence: Support the Operations Director with administrative functions such as scheduling, document organization, and cross-departmental coordination.

Required Skills

  • 1 – 2 years' experience
  • Excellent computer skills, including Microsoft 365 (Outlook, Word, PowerPoint, and Excel) and project management software
  • Excellent written and verbal communication
  • Advanced skillset in time management and task prioritization
  • Attention to detail
  • Candidate must possess an outgoing, positive disposition
  • Excellent customer service skills

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
