Job Summary – Intake Coordinator (Office-Based)

We are looking for a dependable and highly organized Intake Coordinator to join our on-site office team. This role focuses on managing patient intake paperwork, filing and organizing documents, supporting compliance, and ensuring all administrative tasks run smoothly. You will also assist with communication, scheduling, and coordination to support our other intake staff and clinical team.

A background in healthcare, home health, or any related medical field is preferred. Strong organizational skills and computer proficiency are essential.

Key Responsibilities

  • Organize and maintain office files, patient charts, and compliance documents
  • Assist with intake paperwork and securing required patient documentation
  • Support the coordination and tracking of referrals and new patient setups
  • Monitor email inboxes and respond or route messages appropriately
  • Track deadlines for compliance requirements and follow up when needed
  • Schedule appointments and maintain updated calendars
  • Ensure accurate data entry and proper record keeping
  • Support daily office tasks and workflow to keep operations efficient

Qualifications

  • Experience in healthcare or home health admin role (preferred)
  • Excellent organizational and filing skills — must be detail-driven
  • Computer literate (Microsoft Office, email, basic EMR knowledge a plus)
  • Good communication and customer service abilities
  • Can manage multiple tasks and deadlines independently
  • Maintains confidentiality and professionalism at all times

Preferred:

  • Familiarity with insurance authorizations or home health documentation
  • Bilingual (Spanish/English)
