Duties

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Operate multi-line phone systems efficiently, directing calls to appropriate departments or personnel with courteous phone etiquette
  • Manage front desk responsibilities, including handling incoming and outgoing mail, packages, and deliveries
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office applications
  • Support data entry tasks, including updating records in QuickBooks or other accounting software as needed
  • Assist with calendar management and scheduling appointments for staff or executives, ensuring efficient time management
  • Provide customer service support by addressing inquiries, providing information, and resolving issues promptly
  • Perform clerical duties such as proofreading documents, managing office supplies inventory, and maintaining office cleanliness
  • Support office management tasks such as organizing meetings, preparing materials, and coordinating special projects
  • Maintain professionalism in all interactions, demonstrating excellent phone etiquette and organizational skills at all times

Qualifications

  • Proven experience in an office environment or as a receptionist with strong clerical skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic data entry skills
  • Experience with multi-line phone systems and excellent phone etiquette
  • Strong organizational skills with the ability to manage multiple tasks efficiently under time constraints
  • Prior experience in customer service or administrative roles that involved proofing documents and supporting office operations
  • Personal assistant experience or calendar management skills will be considered beneficial
