Duties

  • Greet visitors and clients with professionalism and warmth at the front desk, ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries to appropriate staff members with excellent phone etiquette
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Maintain calendars, schedule appointments, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking
  • Assist with office management duties such as ordering supplies, organizing files, and overseeing general administrative operations
  • Provide customer support by addressing inquiries promptly and professionally, whether in person or via phone or email

Requirements

  • Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, email management, and collaboration
  • Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Strong typing skills coupled with attention to detail for accurate data entry and proofreading tasks
  • Experience handling multi-line phone systems and demonstrating professional phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Prior experience as a receptionist, medical or dental receptionist, or personal assistant is a plus but not required
  • Knowledge of bookkeeping software like QuickBooks is advantageous for financial recordkeeping tasks
  • Demonstrated ability to support administrative functions such as calendar management, filing systems, and office supply coordination
