POSITION SUMMARY

Responsible for administrative support in the areas of human resources. The Human Resources Coordinator is responsible for assigned tasks that are diverse and complex in nature regarding all aspects for non-faculty recruitment and onboarding; employee benefits; employee recognition; and employee relations correspondence. Is the first contact for applicants, patients, and other departmental personnel, both in person and on the phone. Effective communication skills are required due to level of contact with all levels of the organization. Coordinator accepts direction from the Director of Human Resources, but on occasion may be directed by the Executive Director, Director of Finance, and the Manager of Billing Services, in the daily operation of the administrative office. Must have the ability to prioritize projects and tasks on a daily basis.

Essential Functions

Recruitment and Onboarding

  • Oversee full-cycle recruitment and onboarding processes
  • Post all open positions with recruitment internet websites; KansasWorks; company website; and contract agencies when required.
  • Company liaison with contract agencies regarding contract position openings and applicants.
  • Review all applicant resumes received; forward to Clinic Manager and/or provider for review selection.
  • Conduct prescreen interview with candidates for open non-faculty positions as requested.
  • Set up interviews, coordinates application paperwork, greet applicants and maintain recruitment tracking spreadsheet for AAP documentation. Work with Director of Human Resources and consultant to ensure AAP compliance on an annual basis.
  • Under the direction of the HR Director makes contingent verbal offer.
  • Coordinates drug screen and criminal background checks for all new hires.
  • Perform reference checks on final candidates for positions.
  • Coordinates and performs all new hire employee access requirement, packets, and room reservation(s) processes.
  • Coordinate and perform New Hire Orientations for all non-faculty staff to include: new hire paperwork, benefits review; MPA policy and procedure review; OSHA, annual compliance, ADP, phone, and outlook training.
  • Promote the company and open positions by attending career fairs

Other HR Related MPA Employee Projects and Events

  • Coordinates annual Performance Evaluation process with all MPA Employees and Supervisors on a monthly basis.
  • Orders/purchases supplies for employee service awards.
  • Prepare reimbursement check requests for MPA employee benefit expenses and other miscellaneous employee related purchases, submits for appropriate signature approval.
  • orders flowers for employees.
  • Back up the Administrative Coordinator and Office Coordinator when he/she is out of the office for: scheduling, phones, generating outgoing mail, FedEx/UPS.
  • Coordinates and/or conducts special office functions and employee events to include benefit open enrollment, annual compliance training, annual OSHA training, and Holiday gifts/luncheon.
  • Coordinates with Credentialing Specialists regarding all RN, LPN & MA new hires credentials.
  • Maintains spreadsheet for Medical Assistant recertification renewals; sends reminder notifications to employees HIM Manager, Director of Human Resources, Credentialing Specialist, Clinic or Office Manager. Completes check requests for employees with CEU or application reimbursements.

  • Helps with coordination of monthly Headline News Newsletter contents and distribution.

  • Sits on Committees directed by Director of Human Resources.
  • Administers health, dental and life insurance plans, disability, flexible spending accounts, and COBRA with coordination from the HR Director

  • Run and send out monthly reports (birthday, anniversary, and employee roster). Update phone directories and org charts

  • Filing for HR

  • Maintain confidentiality and security of sensitive HR information

  • Assist Director of Human Resources with projects as needed.

Education: Bachelor's Degree (four year college or university) preferred.

Experience: Six months to one year related experience.
