Job Description Summary:

The Nebraska Department of Motor Vehicles (DMV) Motor Carrier Services (MCS) Division is seeking an adaptable and detail-oriented Administrative Specialist. This position plays a vital role in supporting the modernization and efficiency of the Motor Carrier Services Division through expert use of the I3 Motor Carrier System. The Administrative Specialist will collaborate with leadership and staff to develop, implement, and maintain business processes that enhance customer service, data accuracy, and operational effectiveness.

Examples of Work:

  • Serve as the subject matter expert for the Motor Carrier System, providing guidance to staff and leadership on process optimization and system utilization.
  • Plan, implement, and refine business processes to ensure accurate collection and distribution of fees and taxes.
  • Design and maintain work processes and documentation for both internal staff and external customers.
  • Develop and update customer-facing resources, including FAQs and online tools, to improve user experience with web-based services.
  • Conduct system analysis and research to identify issues, implement solutions, and recommend improvements.
  • Advise administrators on operational and policy matters related to the Motor Carrier System.
  • Investigate and resolve internal and external system problems, including coordination with tolling authorities to address data misidentification.
  • Develop and monitor quality and performance metrics to evaluate program effectiveness.
  • Provide administrative support functions, such as ordering supplies and coordinating with the print shop and tolling partners.
Requirements / Qualifications:

Minimum Qualifications: At least one year of post high school coursework or experience in: administration, office management, accounting, finance, planning, policy analysis and implementation, administrative/management analysis, operations research, program evaluation, research, or similar fields or in a field related to the programs or functions of the employing agency.

Preferred Qualifications: Two years of post-secondary education or equivalent experience in a managerial, supervisory, accounting, actuarial, information systems, or related field. Experience working with complex information systems or customer service platforms, particularly those related to transportation or government services. Strong analytical and organizational skills, with the ability to work independently and collaboratively. Knowledge of using Adobe Pro software.

  • Production and design of newsletters and division specific data entry forms

  • Strong organizational and problem-solving abilities.

  • Ability to identify and implement process improvements.

  • Effective communication and collaboration skills across teams and with the public.

  • Proficiency in data analysis and reporting.

  • Ability to exercise sound judgment and maintain attention to detail in a dynamic environment.
