Position Summary
The Director of Admissions and Registrar is responsible for the strategic leadership, management, and oversight of the College's Admissions and Records functions. This includes developing and implementing admissions policies, managing student records, ensuring compliance with state and federal regulations, and providing leadership to a team of admissions professionals. The Director works closely with faculty, staff, and external stakeholders to ensure seamless enrollment processes, a positive student experience, and alignment with institutional goals.

Salary Range $77,611 -$120, Month, Professional, Exempt)
Work Hours: 8:00 am - 5:30 pm Monday - Thursday and 8:00 am - 12:00 pm Friday
Essential Duties And Responsibilities
The Director of Admissions/Registrar shall perform the duties as specified in conformity with policies established by the Alabama Community College System Board of Trustees and the J.F. Drake State Community and Technical College Faculty and Staff Handbook.
The Director of Admissions and Registrar will be expected to
- Student Records Management:
- Maintain student records in compliance with FERPA and in alignment with standards set by the American Association of Collegiate Registrars and Admissions Officers (AACRAO) and other accrediting bodies.
- Oversee the processing and maintaining of student transcripts, including transfer credit evaluation and articulation agreements.
- Admissions Process Coordination:
- Coordinate the admissions process for the College, ensuring timely and accurate receipt and processing of paper and online applications.
- Oversee the filing and imaging of admissions documents and student records in an organized and compliant manner.
- Ensure the timely posting of transfer credits and academic records for all students transferring from other institutions.
- Serve as the Foreign Student Advisor, ensuring compliance with regulations related to international student admissions.
- Recruitment and Enrollment Management:
- Collaborate with Enrollment Services to develop and implement strategies aimed at increasing student recruitment and achieving enrollment goals.
- Utilize data and analytics to inform enrollment decisions and improve outreach efforts.
- Support the recruitment of prospective students by maintaining a small territory or pool of applicants and developing strategic outreach initiatives.
- Work with the Public Relations and Marketing departments to produce promotional materials that align with the College's strategic goals.
- Collaboration with Internal Stakeholders:
- Work closely with the Student Success staff to ensure a smooth transition for new students into advising and registration services.
- Collaborate with the Financial Aid Office to ensure that students are informed of available financial aid, scholarships, and related processes.
- Partner with the Instructional Unit to support and promote College initiatives through outreach, recruitment, and academic partnerships.
- Professional Development and Leadership:
- Develop and implement comprehensive training programs for Admissions staff and student workers, emphasizing customer service, accuracy, and confidentiality.
- Provide leadership in managing the Admissions and Registrar budget, ensuring efficient use of resources and the allocation of necessary funds.
- Represent the College at professional conferences, workshops, and events related to admissions and enrollment services.
- Participate in professional development opportunities and maintain affiliations with relevant professional organizations.
- Serve on various College committees as assigned by the Dean of Students or President.
- Compliance and Accreditation:
- Ensure the College adheres to all accreditation and certification standards related to admissions and student records.
- Assist in the accreditation process by retaining necessary documentation and submitting relevant reports as required.
- Monitor policies and procedures to ensure compliance with state and federal laws, including FERPA.
- Other Duties:
- Perform any additional responsibilities or special projects as assigned by the Dean of Students and/or President.
- Working Conditions:
This is a full-time administrative position with occasional evening and weekend hours required, particularly during peak enrollment periods. The Director of Admissions and Registrar will work in a collaborative environment with students, staff, faculty, and external partners to enhance the overall student experience and contribute to the College's mission and vision.
Qualifications
ESSENTIAL QUALIFICATIONS
- Earned Master's degree in education, psychology, higher education, or a related field from a regionally accredited institution.
- A minimum of three (3) years of full-time experience in both Admissions and Registrar's Offices.
- A minimum of three (3) years of full-time supervisory experience.
- Experience in overseeing and managing the complete admissions process from recruitment to enrollment.
- Comprehensive understanding of admission policies for the College and the Alabama Community College System.
- Proficient in Banner administrative software and student information systems.
- Experience with Customer Relationship Management (CRM) systems, marketing, and automated communications systems.
- Demonstrated leadership qualities, with experience managing and mentoring staff.
- Strong written and oral communication skills with an emphasis on clarity and professionalism.
- Capacity to maintain confidentiality of sensitive student and institutional information.
- Knowledge of office procedures and records management practices.
- Familiarity with the Family Educational Rights and Privacy Act (FERPA) and related compliance standards.
Preferred Qualifications
- Earned Doctorate degree from a regionally accredited institution.
- Experience in community college settings, particularly in an Admissions and Registrar capacity.
- Familiarity with Banner, TargetX, and DegreeWorks platform
