Behavioral Health/ Medical Office Receptionist

JOB SUMMARY:
The Behavioral Health/Medical Office Receptionist serves as the first point of contact for clients, staff, and visitors at New Harmony Behavioral Health, LLC. This role is responsible for managing front office operations, including answering calls and emails, scheduling appointments, processing intake paperwork, and maintaining an organized filing system. The receptionist ensures a welcoming and efficient environment by providing administrative support, safeguarding sensitive information, and assisting with a variety of tasks to support both clients and the clinical team. The ideal candidate demonstrates professionalism, adaptability, and a commitment to confidentiality while contributing to a positive office atmosphere.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Answer calls and emails, respond to inquiries, relay messages, monitor and respond to faxes, typing, filing, copying, handling office equipment, data entry, maintaining an organized filing system, etc.
- Schedule, confirm, and manage appointments/schedule on EHR systems.
- Process intake paperwork, verify client demos, verify eligibility and benefits, collect copayments/balance, troubleshoot with billing company on claims denials, submit prior authorizations for mental health services, etc.
- Safeguarding sensitive medical information and practicing strict procedures in handling confidentiality of data pertaining to patients, clinicians, employees, and visitors
- Assist manager of operations with human resources tasks, verify employment references, partake in scheduled onboarding/orientation sessions for new hires
- Provide administrative support to administrative staff and clinicians. Developing a rapport and cooperative relationship with admin and clinicians, responding to their questions/requests.
- Track and maintain office and kitchen supply inventory
- Welcome guests, employees, and clients who arrive at the office and clarify the purpose of their visit. Monitor the waiting area to ensure a calm and comfortable environment for clients.
- Serving as a resource within the office in terms of helping troubleshoot computer and systems usage issues. Completing other/varied tasks as necessary to ensure the efficient operation of the office.
EDUCATION, KNOWLEDGE, SKILL & ABILITY:
- High school diploma or equivalent required; Associate degree preferred
- Minimum of 2 years of recent and relevant admin/clerical experience, preferably in a clinic/healthcare/mental health office setting
- Strong organizational skills with meticulous attention to detail, excellent problem-solving skills, flexibility, adaptability, ability to multitask, prioritize, and stay organized in a fast-paced environment
- Ability to work independently as well as collaboratively in a team environment
- Strong verbal and written communication skills with a professional and compassionate demeanor
- Proficient with computers, scheduling software, and EHR systems (experience with Kipu is a plus)
- Knowledge of HIPAA compliance and confidentiality practices
- Knowledge of commercial, Medicaid and Medicare insurance coverage and benefits
- Bilingual English/Spanish preferred
- Performs other duties from time to time deemed appropriate by the manager of operations.
- Basic knowledge of human resources
PHYSICAL REQUIREMENTS:
- Mobility and ability to bend and reach during an eight-hour day.
- Able to lift a minimum of 10 pounds.
- Visual and auditory acuity sufficient to evaluate information and maintain accurate records.
- Fine motor skills and legible and accurate writing of reports, daily correspondence and presentation either manually or orally.
