JOB DESCRIPTION

Job Title: Seasonal Member and Public Services Assistant

Department: Member Services

Reports To: Senior Manager, Member Services

FLSA Status: Non-exempt

SUMMARY OF PURPOSE OF JOB:

The Seasonal Member Services Assistant supports the administrative and operational functions of the Member Services Department and provides assistance to both Association members and the public. This position serves as the welcoming face of the Pasadena Tournament of Roses representing the organization to callers, visitors, and Members in a friendly, professional, and courteous manner.

The Assistant plays an important role in ensuring smooth day-to-day operations at Tournament House, supporting staff and committees, and helping to deliver a high-quality experience that reflects the warmth and professionalism of the Tournament of Roses.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

• Greet all visitors to the Association offices, including members, guests, the general public, and vendors.

• Provide event information to callers and visitors, responding to questions and directing them to the appropriate staff member when necessary.

• Serve as front desk support by responding to phone calls and emails, assisting with inquiries, and ensuring the reception area remains tidy, organized, and welcoming.

• Assist with ordering, maintaining and distributing office, breakroom and member supplies.

• Stock and sell merchandise at the front desk, ensuring accurate handling of transactions and inventory.

• Support data management and information in Association platforms as directed.

• Perform general clerical duties such as sorting mail, filing, copying and managing supplies.

• Assist with administrative and logistical preparations for member meetings, events and training.

• Provide support to the Senior Manager, Member Services, on special projects and initiatives as needed.

• Work independently and apply sound judgment and critical thinking skills to make informed decisions in day-to-day tasks.

SUPERVISORY RESPONSIBILITIES

This position does not supervise others.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

• Some college preferred, and 1-3 years' experience working in a fast-paced environment.

COMPETENCIES REQUIRED (unless stated otherwise)

• Mid-level proficiency in MS Office suite.

• Ability to navigate internet.

• Professional appearance and demeanor.

• Excellent customer service skills.

• Ability to speak clearly and articulately.

• Bilingual Spanish or Mandarin preferred but not required.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

MATHEMATICAL SKILLS

Ability to calculate basic math.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

COMPENSATION

Starting rate of $20.00/hour. Benefits include paid sick leave and holidays.
