General Statement of Duties

Coordinators are primarily responsible for accurately processing and installing new items and/or accounts and salesperson data into our system as well as maintaining and updating the information as necessary. In addition, this position will report price changes to our retail accounts and work with Hayden's sales team and chain stores to relay item authorization information and also maintain account licenses. Some reporting, analysis and additional accounting duties could be assigned. This position works in a team setting and requires some analytical work and the ability to take initiative on independent tasks. It is administrative and functions under the direct supervision of the Business Administration Manager.

Essential Duties and Responsibilities

Exceptional organizational skills and the ability to produce accurate work timely. Must also be able to effectively communicate and provide information to our sales team and customers to get issues resolved quickly and enable them to perform efficiently

Examples of Work (Illustrative Only)

Essential Duties and Responsibilities- including but not limited to:

Ö New item origination and set up

Ö New account origination and set up

Ö Pricing, promotion and depletion input and verification

Ö Manage database for accuracy and consistency

Ö Chain store authorization & pricing maintenance

Ö Troubleshoot and work through store refusal issues

Ö Manage alcohol license renewals through maintenance within the VIP database and communication with our sales team

Ö Produce reports and provide executive level analysis from information gathered

Ö Accurate and timely communication both inside and outside of the organization

Ö Assist sales team, management and other departments with reports and special projects

Ö Recognize areas for process improvement and communicate ideas to the team

Ö Must be able to fulfill essential job functions in a consistent state of alertness and safe manner.

Knowledge, Skills and Abilities

Ö Bachelor's degree or equivalent work experience

Ö Intermediate MS Excel ability, specifically with knowledge lookup formulas and pivot tables

Ö Proficient skills in Microsoft Word and Outlook

Ö High level of organizational skills and attention to detail

Ö Ability to independently gather information from various sources, analyze data, and prepare what if reports to present to management

Ö Demonstrates the ability to maintain professional relationships with internal and external customers

Ö Demonstrates the ability to problem solve and successfully function as a member of a team while also engaging in self-directed resourcefulness and analytical thinking.

Ö Demonstrate a sufficient ability to problem solve and manage multiple interruptions effectively.

Ö Sufficient clarity of speech and hearing or other communication capabilities, which permits the employee to discern verbal instructions and communicate effectively with others in person and by telephone;

Ö Sufficient visual and mental acuity, which permits the employee to comprehend written work instructions, and make determination of necessary actions to take to meet the presentation standards for the facility;
