Position Overview

Quality Drills is seeking a detail-oriented and motivated Executive Sales Administrative Assistant with Sales Leadership Training and Sales Closing Support to join our Wichita team.

This position provides essential support to the Sales, Accounting, and Parts departments, while maintaining consistent communication with leadership across the company. The role assists sales representatives and the Controller, with administrative coordination, vendor and customer communications, sales tracking, and follow-up support.

The position also eventually will contribute to company-wide training initiatives for incoming sales teams, and helps develop future training materials for the Sales Department.

Because the parts and equipment markets can change rapidly, this position requires continuous monitoring of vendor pricing, availability, and lead times. All pricing updates and market findings should be shared promptly with the Controller to maintain accurate data for financial and sales decision-making.

In addition to CRM management and order processing, the Executive Sales Administrative Assistant, will play a direct role in supporting the Sales Team during deal closures, ensuring all documentation, vendor coordination, and communication are completed with precision and professionalism.

Key Responsibilities

  • Provide administrative and operational support to sales representatives and the Sales Manager, ensuring smooth daily workflow.
  • Support the process of becoming a Sales Team Trainer by assisting with onboarding and continued learning initiatives.
  • Assist with sales closings by following up with customers, coordinating with vendors, and confirming order details.
  • Collaborate with the Controller to identify and communicate pricing changes for parts and equipment.
  • Report significant vendor price changes immediately to ensure timely updates for quotes and proposals.
  • Maintain accurate customer records, order details, and related information in SOS CRM, Monday, and QuickBooks.
  • Support invoicing coordination between the Sales and Accounting departments.
  • Assist with preparing sales and financial reports, ensuring timely and accurate information for management.
  • Represent Quality Drills with professionalism in all customer and vendor communications.

Required Skills & Qualifications

  • Two to three years of experience in administrative support within a sales, accounting, or office environment.
  • Knowledge of John Deere Airseeders, carts, or similar no-till equipment is a plus.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Microsoft 365, including Excel, Word, Outlook, and Teams, and experience with CRM platforms.
  • Experience using QuickBooks for invoicing or coordination between departments.
  • Strong written and verbal communication abilities.
  • Ability to adapt quickly in a fast-paced environment while balancing administrative accuracy across departments.
  • Professional and courteous demeanor in all customer and vendor interactions.

Education

  • Farming/Planting, especially with Air-seeders/no-til Drills is a plus
  • Required: High School Diploma, with relevant coursework or experience in Sales, Accounting, or a related field.
  • Preferred: Bachelor's degree in Business Administration, Sales, Accounting, or a related discipline.

Licenses/Requirements

  • Clean driving record with no more than 5 points (insurance requirement).
  • Successful completion of a background check and drug screening.

Compensation & Benefits

  • Hourly wage: $20.50 – $27.50/hour, depending on experience.
  • As needed, possible ofertime may be required.

Schedule

  • Monday to Friday, full-time in-office position. Some OT requested and paid.
  • OT may include some time on the weekends.

Pay: $ $27.00 per hour
