Administrative Specialist

The Administrative Specialist shall be responsible for updating rosters. Assists the Program Director and Assistant Director in sending/receiving correspondence and overall office organization.

Requirements:

The Administrative Specialist shall assume the following job responsibilities:

  1. Support Facility Director and Assistant Director with day to day operations.
  2. Monitoring task progress and reporting updates.
  3. Maintain multiple rosters and databases.
  4. Maintain various rosters and keep facility forms updated and stocked.
  5. Maintain electronic and paper records ensuring information is organized and easily accessible.
  6. File, organize, shred, and create files.
  7. Operate company vehicle.
  8. Create Staff & Resident ID.
  9. Keep inventory of office supplies and coordinate ordering with the Facility Director and disbursement of supplies.
  10. Edit and review documents to ensure accuracy, correcting grammar, spelling or structure errors as necessary.
  11. Prepare correspondence to the partner agencies including acceptance letters, terminal reports, etc.
  12. Set up resident medical appointment with follow up on results and related paperwork.
  13. Take meeting minutes by hand or computer, that will later be documented for compliance purposes.
  14. Ensure all company policies, procedures and the employee handbook are followed.
  15. Local travel may be required.
  16. Complete all annual training required by contract.
  17. Complies with federal, state and local laws and regulations.
  18. Ensures rest and meal breaks are taken in accordance with California law.
  19. Reports any violation of company policy, employee handbook Standards of Conduct, etc.
  20. Assume and perform other duties as assigned.
