Inventory Specialist

Job Description

Position Summary:

The Inventory Specialist will catalog incoming and outgoing equipment through inspections, assessments, and photographic means. Will verify shipping and receiving data; and maintain records for incoming and outgoing shipments involving inventory. The Inventory Specialist ensures accurate data entry for push and pull inventory, monitors inventory levels, and forecasts incoming and outgoing equipment as it relates to inventory control. May assist in preparing shipping and receiving documents, and maintains equipment inventory using company-specific software and related programs.

Essential Job Duties and Responsibilities:

  • Assess all equipment returning to the facility or leaving the facility to assure condition and operation are acceptable; take photographic records of condition. Record and report damage to the appropriate parties.
  • Tag all returned and received equipment and audit current inventory lists to ensure all inventory and equipment is accounted for.
  • Record all incoming (push) and outgoing (pull) inventory into software programs and databases and maintain records to keep inventory records current.
  • Forecast incoming and outgoing equipment to verify and ensure needed items are available or are expected.
  • Monitor and approve delivery requests and establish good communications and working relationships with delivery personnel.
  • Manage equipment 'To be Determined (TBD)' list through close contact with the Sales and project management teams for accurate equipment disbursement, contact customers or manufacturers regarding unidentified or unexpected equipment or items.
  • Work directly with General Contractors and mechanical, electrical, and plumbing (MEP) contractors regarding Owner Furnished Contractor Installed (OFCI) equipment.
  • Travel to local warehouse locations as necessary.
  • Perform all other duties as assigned and necessary.
Minimum Qualifications (Experience, Skills, and Education):
  • High School Diploma or equivalent necessary.
  • Prior experience with inventory, warehousing, or logistics preferred.
  • Intermediate to advanced computer use with a Windows-based system; knowledge of MS Office, including Excel, Word, and Outlook programs.
  • Familiar with various equipment used in industrial applications and is knowledgeable about proper operating conditions and general appearance of equipment. Able to receive training in certain equipment operation, such as forklift.
  • Ability to develop good relations with all levels of staff, customers, and vendors or suppliers. Can resolve minor conflicts or issues independently.
  • Use relevant information and individual judgement when assessing equipment.
  • Good understanding of the English language, including the meaning and spelling of words. Able to keep legible records, in English.
  • Excellent time management skills; be self-motivated and self-directed.
  • Valid drivers license required; must be insurable.

Physical Requirements and Working Conditions:

The Inventory Specialist will work in both indoor, climate-controlled, and outdoor environments with exposure to inclement weather and uneven terrain. Outdoor activities will require General Physical Activities that necessitate frequent use of arms, legs, and moving the entire body; will climb, crouch/stoop, bend or balance as needed, and will include handling, positioning, or moving items with hands and arms; occasional lifting and moving objects of varying weights or shapes. Indoor work will require frequent use of hands, arms, and manual dexterity; extended time working in a seated position may be necessary. Frequent use of the senses involving sight, sound, and touch.
