Job Summary
Provides administrative support services in coordinating office operations, procedures, and weighmaster tasks for the business facility. Also provides accounting and back up support services to ensure organizational effectiveness, accuracy and efficiency. Must abide by Company Safety Program and Policies, while performing duties safely. Reliable attendance required. Western Sand & Gravel is currently offering a $2500.00 Hiring Bonus
Essential Duties and Responsibilities include, but are not limited to, the following.
Assists in the support activities performed by office, sales and delivery work units within Western Sand & Gravel, which would include office administration, implementation of procedures, employee time tracking and reporting, and accounting functions.
Develops a weigh ticket for aggregate sales, assuring the JWS tracking system reflects current pricing.
Scale trucks in and out using the correct customer and product information.
Provide Accounts Receivable and Payable support function for WS&G tickets.
Initiates purchase orders, as necessary, and verifies/receives purchase orders of company purchases made daily.
Reviews timecards for WS&G employees, enters payroll data into appropriate software, runs edits, and submits to General Manager for approval. Forwards approved summary sheets are to Payroll by designated time weekly and monthly.
Provides customer support services by answering incoming telephone calls, determining purpose of calls, and forwarding calls to appropriate personnel, takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
Assists staff in projects that require additional assistance.
Reviews inventoried items to determine if material on hand balances with inventory; labels warehouse materials as needed.
Oversees a varying workload by prioritizing a range of tasks ensuring deadlines are met and attention to detail.
Performs other clerical duties as needed, such as filing, photocopying, and collating.
Trains personnel as needed to support the roles within the office.
Provides company support duties as necessary. Other duties as assigned.
Education and/or Experience:
- High school diploma or equivalent GED; and
- six months related experience and/or training; or
- equivalent combination of education and experience.
- Valid Driver's License
Excel Spreadsheet software and Word Processing software. Must be capable of learning and using company software.
Other Skills & Abilities:
- Experience using Excel Spreadsheet software and Word Processing software; must be capable of learning and using specific company software.
- Must understand the confining requirements of the office staff support duties, be flexible regarding work schedule and be able to meet the demands of a small office.
- Must have excellent collaborative skills and assist the team to establish a safe and secure work environment.
- Ability to oversee a varying workload by prioritizing a range of tasks and meet deadlines.
- Must be able to maintain a high degree of confidentiality.
- Must have excellent mathematical and numerical skills with a high degree of attention to detail.
- Must have good human relations skills.
- Ability to produce high quality, accurate work while coordinating a business environment.
- Must be skilled in solving problems with good workable solutions.
- Must be able to occasionally lift and/or move up to 25 pounds.
