Job Summary
Provides administrative support to the executive leadership and administrative staff, handling general office duties, credentialing, and physician files with a high degree of confidentiality and professionalism.
Qualifications
- High School Diploma or GED required; college-level education preferred.
- Minimum of 2 years of experience in a healthcare setting preferred.
- Proven ability to handle confidential information with discretion.
- Strong knowledge of office administrative tasks.
- Proficient in Microsoft Office Suite and computer systems.
- Excellent verbal and interpersonal communication skills.
- Ability to collaborate effectively with diverse stakeholders, including patients, staff, and the public.
- Strong organizational skills and ability to follow written and oral instructions.
- Fluency in English (additional languages a plus).
- Manage routine operations and special projects as assigned by leadership.
- Handle correspondence for the executive team, including drafting, editing, and distributing letters, memos, and reports.
- Provide clerical support and manage special projects for medical leadership.
- Maintain and secure credentialing files for medical staff, ensuring completeness for committee reviews.
- Coordinate information flow, including scheduling meetings and maintaining calendars.
- Record, transcribe, and distribute meeting minutes and memos.
- Answer and screen phone calls, directing inquiries appropriately.
- Uphold a positive image of the organization through professional interactions.
- Prioritize tasks and work independently with minimal supervision.
- Adhere to organizational policies, including confidentiality, HIPAA compliance, and ethical standards.
- Perform other duties as needed.
- Maintain a neat, professional appearance and adhere to the dress code.
- Complete all mandatory health, safety, and compliance training.
- Demonstrate knowledge of patient confidentiality and HIPAA regulations.
- Report to work as scheduled and adhere to attendance policies.
- Attend all required meetings and training sessions.
- Comply with organizational policies and federal, and state regulations.
- Exhibit strong guest relations skills with all stakeholders.
- Advanced proficiency in Microsoft Office Suite.
- Familiarity with basic office equipment.
- Professional telephone etiquette.
- Ability to manage stress and maintain composure in a fast-paced setting.
- Full mobility to perform office duties; reasonable accommodations available.
- Clear communication with patients, staff, and healthcare team members.
