The Law Enforcement Records Bureau gathers, analyzes, and disseminates criminal justice data used by New Mexico law enforcement, criminal justice, corrections, courts, and civil agencies to ensure public safety. The bureau maintains complete and accurate records and responds to the needs of the public, law enforcement and criminal justice agencies providing support and customer engagement through our many applications, programs, and services to achieve the mission objectives.
Interviews are anticipated to be conducted within two weeks of closing date.
Why does the job exist?
The Law Enforcement Records Specialist plays a vital role in supporting the operations of the Law Enforcement Records Bureau by managing and maintaining critical records. This position is responsible for organizing and safeguarding data, filing, performing accurate data entry, daily mail delivery, fingerprinting individuals for background checks, drafts and monitors Internal Purchase Request (IPR) Orders, receive and disburse purchase orders to vendors, processes vendor invoices for payment, and responding to public requests for reports.
How does it get done?
1. Records Management and Data Integrity (30%): Organize, safeguard, and maintain critical law enforcement records through accurate data entry, filing, and compliance with bureau standards. Research and apply New Mexico Statutes to collect, process, and disseminate complete and accurate information while ensuring quality control.
2. Outreach and Stakeholder Engagement (30%): Manage outreach to New Mexico law enforcement and civil agencies, develop and train stakeholders, partner with national organizations to exchange missing persons information, and coordinate multiple outreach events across the state.
3. Administrative and Purchasing Support (25%): Draft and monitor Internal Purchase Request (IPR) orders, manage purchase orders, process invoices, and coordinate with vendors to ensure accurate and timely transactions supporting bureau operations.
4. Customer Service and Public Interaction (15%): Respond to public requests for reports, provide fingerprinting services for background checks, and handle daily mail delivery and distribution of records and documentation within the bureau.

General Public, Law Enforcement, Courts, Corrections, Civil, and Criminal Justice Agencies.
Ideal Candidate
High School diploma or GED and one (1) year of experience in office administration, accounting, customer service, data-entry, cash management and/or records management.
1. Experience exercising good judgment, problem solving, attention to detail, and making reliable decisions using critical thinking skills.
2. Be a self-starter, self-motivated individual with experience working in a team environment.
3. Natural public speaker who can lead training and orientation of clients throughout New Mexico.
4. Sound communication skills - written and oral, and the ability to modify communication message to reflect audience.
5. Organizational skills, shepherding projects through conceptual, development, executions and monitoring stages.
Minimum Qualification
Eighth grade education.
Employment Requirements
Employment is subject to a pre-employment background investigation and fingerprinting in accordance with all terms and conditions of federal and state law, rules and regulations; and is conditional pending results. Continued employment is contingent upon remaining felony free, per Section 5.12.1.1 of the Criminal Justice Information Systems Security Policy.
In addition, the selected candidate must possess and maintain a valid driver's license and obtain a Defensive Driving Certificate from the State of New Mexico.
Working Conditions
Office setting, exposure to Visual Video Display terminal and extensive personal computer and telephone usage with extended periods of sitting. Must be able to lift and carry 30 lbs. Subject to a national fingerprint-based record checks prior to assignment. Continued employment is contingent upon remaining felony-free, per Section 5.9.1.1 of the Criminal Justice Information Systems Security Policy. Travel required.
