Job Description:

As a Senior Clinic Manager, you will play an integral role in overseeing the day-to-day operations of up to three clinics and provide support to each clinic's management team and staff. Through hands-on management, you will ensure that each clinic is on track to achieving business objectives and that our commitment to delivering exceptional patient care and customer service is being consistently met.
  • Direct and manage three directly reporting clinic managers as assigned.
  • Sustain weekly clinical visits and provide direct support to staff and providers.
  • Address patient questions and concerns promptly while striving for patient satisfaction.
  • Coach and mentor managers on resolving clinic and patient issues.
  • Assist the Clinic Manager in developing the growth and performance of staff members per clinic while evaluating recruitment needs.
  • Ensure that each clinic is meeting their monthly and annual bonding and collections goals.
  • Evaluate each clinic's metrics to project the clinical performance at the end of the month, quarterly, and annually.
  • Ensure managers and staff follow all policies and procedures to ensure staff and patient safety.
  • Evaluate the level of customer service provided by office staff and carry out training when needed.
  • Foster a learning environment by recognizing and coordinating training opportunities for admin and clinic staff as needed.
  • Oversee that the monthly operation checklist is completed in each clinic.
  • Maintain patient data according to regulations and company policies.
  • Oversee timecard management and ensure timecard procedure and process is completed by the due date set by Human Resources.
  • Ensure that records are stored securely and in compliance with privacy and security regulations.
  • Analyze and report staffing needs on a regular basis.
  • Oversee that the team members' weekly schedule is maintained by the clinic's manager appropriately.
  • Assist the Treatment Coordinator with making calls (Welcome calls, Lost Cases and Denied).
  • Ensure that all huddle procedures are followed and huddles are run in an organized and motivating manner.
  • Empower clinic managers to oversee the metrics progress and evaluate the health of case acceptance.
  • Ensure that all OE team members understand our company's mission, vision, and core values and uphold them in the highest regard.
  • Lead by example by upholding and promoting the company's mission, vision, and core values.
  • Foster a positive and collaborative team culture that promotes excellence in patient care and teamwork.
  • Support managers in employee relations conversations and in the disciplinary action process.
  • Provide coverage for clinics as needed including Saturday shifts.
  • Collaborate with the Marketing department to ensure that office marketing needs are being met, which may include participating in marketing events.
  • Annual compliance training and ensure that all direct reports are also in compliance with their required compliance training.
  • Other duties as assigned.
Requirements
  • 3 years' experience in treatment coordination in a private medical practice
  • 3 years' experience in clinic or practice management, preferably in orthodontics
  • Experience managing multiple practices
  • Excellent communication and sales skills
  • Ability to motivate and build strong teams.
  • Bachelor's degree in business management or administration, and/or education and experience in a relevant field preferred but not required.
  • Spanish Speaking preferred
  • Must be able to travel to HQ in Des Plaines, IL. It is required to travel to HQ intermittently for the first 6 weeks of hire (we will cover lodging and meal reimbursement when traveling to HQ)
  • Consistent travel between our clinics in Beloit, WI, Rockford, IL and Madison, WI
  • Preferably live 30-45 minutes from Madison, WI
Working Hours/ Location:
  • Monday - Wednesday 8:45am to 5:00pm
  • Thursday & Friday 6:45am to 3:00pm
  • Madison WI, Beloit WI, and Rockford IL
