Our client, a leading organization in the medical research and development industry, is seeking an Administrative Specialist III to join their team. As an Administrative Specialist III, you will be part of the HFE support team, assisting with invoice processing, vendor contract management, and broader research functions. The ideal candidate will demonstrate excellent communication skills, proactive problem-solving abilities, and a collaborative mindset, which will align successfully in the organization.

Job Title: Administrative Specialist III

Location: Plymouth, MN

Position Type: 1-Year Contract with Potential for Extension/Conversion

Pay Range: $25.00 - $28.00

Shift: Hybrid: Mon and Friday WFH, Tues - Thurs in office. Typical work day hours with some flexibility.

What's the Job?

  • Process invoices from external vendors, review with project leads, and ensure payments are authorized and completed accurately.
  • Collaborate with Ethics & Compliance teams across multiple geographies to draft and review vendor contracts, including IRB approvals and review requests.
  • Resolve payment issues by working closely with procurement teams to correct errors and update vendor bank information.
  • Manage Change Control requests, review impact assessments, and prioritize reviews to streamline processes and reduce unnecessary work.
  • Support vendor onboarding, update internal supplier lists, and assist with procurement of supplies and equipment for research activities.
What's Needed?
  • Strong interpersonal and communication skills to effectively collaborate across teams and geographies.
  • Ability to work independently, make decisions, and solve work-related problems proactively.
  • Proficiency in MS Office tools and familiarity with contract processing systems such as Coupa.
  • High school diploma or equivalent required; Bachelor's degree preferred.
  • Minimum of 3-5 years supporting technical or research teams, ideally within a medical device or R&D organization.
