Overview:

The Accounts Payable Specialist is responsible for managing and processing vendor invoices, subcontractor payments, and compliance documentation within a fast-paced construction environment. This role ensures accuracy, timeliness, and adherence to company policies and industry standards while supporting project teams and maintaining strong vendor relationships.
Key Responsibilities:

  • Process high-volume accounts payable transactions, including vendor and subcontractor invoices.
  • Verify invoice accuracy against purchase orders, contracts, and job cost codes.
  • Ensure compliance with lien waivers, W-9s, insurance certificates (COIs), and other required documentation.
  • Maintain accurate records of job costing and expense allocations in the accounting system.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Prepare and process weekly check runs and electronic payments.
  • Assist with month-end close by ensuring all AP entries are posted accurately and timely.
  • Collaborate with project managers and procurement teams to resolve billing issues.
  • Support audits and provide documentation as requested.
Qualifications:

  • Experience: 2-5 years of accounts payable experience, preferably in construction or a related industry.
  • Skills:
    • Strong knowledge of job costing and construction billing practices.
    • Proficiency in accounting software (e.g., Sage, Viewpoint, Foundation) and Microsoft Excel.
    • Excellent attention to detail and organizational skills.
    • Ability to manage multiple priorities and meet deadlines.
    • Strong communication and problem-solving skills.
