Position: Scheduling Coordinator

Responsible To: Office Manager

Pay Rate: $17.00-$19.00

Shift: Monday- Friday, 7am-3pm

Typing from copy, including forms, internal communications and business letters.

Operate common office machines such as photocopy, facsimile, calculator, word processor, report binding machine, and laminator.

Input schedules of all Gan Kavod employees into Paycom payroll software. Run Paycom reports.

Assist with daily reconciliation of schedules versus actual hours in Paycom, and assist with resolving discrepancies, working collaboratively with the Office Manager.

Track employee absences and tardiness.

Complete filing to include charge reports, resident benefit information, payroll related documentation.

Create files for new resident admissions and new employees.

Conduct a monthly inventory of office supplies to be ordered.

Assist Office manager with daily office work.

Assist with SNAP applications and annual renewals. Resident SNAP cards will be run monthly and receipts given to the Office Manager to track benefit amounts.

Assist with laminating menus for Dietitian staff.

Maintain a spreadsheet of hours for employees that assist with CH-R and programs during the day.

Assist with placing orders for residents and agency purchases and maintain documentation associated with the purchase.

Maintain confidentiality of employee and resident related information in accordance with HIPAA requirements.

Perform audits and assist with assigned projects, as needed, for Human Resources.

Perform billing related tasks relevant to Gan Kavod and assist accounting, as needed.

Perform duties according to the highest ethical and moral standards and in adherence with the facility's corporate compliance plan and all applicable governing laws.

Perform any other related duties as assigned by the Program Director, Assistant Program Director, Office Manager or designee.

Associate's degree in business, human services or closely related field or three or more years of experience in an office or clerical position.

Proficiency with Microsoft Windows-based software products, including Microsoft Word and Excel, required.

Value for high quality customer service standards, with ability to effectively and courteously deal with the public and coworkers in person and on the telephone in a busy, multi-task environment, required.

Ability to work collaboratively and communicate effectively as a member of an interdependent team.

Adequate problem-solving skills to assure effective and appropriate outcomes. Sufficient time management capabilities to accomplish assigned duties and prioritize them among multiple tasks.

Demonstrated ability to maintain confidentiality of all employee and resident related information.

NYS Driver's license with clean driving records required.

Demonstrated understanding and implementation of the core values of the organization relating to Ethics, Relationships and Success, as shown by daily actions.
