POSITION OVERVIEW:

The Project Manager of Related Services will serve as an integral part of the administrative team, supporting project management, external partnerships, data tracking and communications efforts which are necessary to advance the office’s objectives.

The Project Manager of Related Services will facilitate the work of the department required by the district, as well as assist with department activities. The Project Manager will work independently and confidentially to support the department’s leadership, as well as serve in cross-functional teams consisting of members from the various disciplines that work within.

The Project Manager will maintain a smooth flow of communication and department functions, ensuring coordination and alignment across the Office of Special Education and other BPS departments.

RESPONSIBILITIES :

Project Management, Administration, and Organizational Development

  • Compile, manage and maintain spreadsheets, graphs, reports based on data collection for sharing with relevant stakeholders.

  • Provide and/or coordinate logistics and resources in preparation for internal/external meetings or presentations. This will include compiling and/or synthesizing detailed information for dissemination as it pertains to the department needs.

  • Develop and manage systems using Google Workspace for: staff to access and maintain required departmental templates and forms, record keeping, meeting notes and agendas, and archive management.

  • Develop and implement new initiatives and systems, to refine department practices and increase project efficiency for continuous improvement. Such as developing and implementing a streamlined process of screening and onboarding new employees, volunteers, graduate students and contractors.

  • Independently managing the hiring process and timekeeping for school year staff and ESY staff.

Finance and Grant Management

  • Monitor department expenditure, maintain procurement system (i.e. entering requisitions etc) and audit assigned budget bimonthly or as needed in order to spend down grants and close the fiscal year.

  • Collaborate with key staff, from several BPS offices and Related Services, on developing a fiduciary responsible budget plan outlining discipline specific needs, projects or initiatives (i.e. student equipment, assessment materials.)

  • Supporting the Assistant Director through the annual district budgeting process ensuring ethical stewardship of public dollars is in alignment with district goals and mission.

Team Operations, Communications, and Event Planning

  • Engage in cross-functional collaboration with: external stakeholders (i.e. vendors, Universities, contracting agencies, City of Boston), district partners and many BPS offices (ODA, OLA, OHC, OIIT, OEL, Early Childhood, Health & Wellness, Teacher Leadership, Student Support, Finance Division, Business Services) to ensure Related Services department alignment of district’s mission and goals as well as to accomplish necessary operational projects.

  • Engage and support department administration in outreach or daily interactions with families, service providers, school administrators, community partners, government agencies, health organizations, rehabilitation centers to promote high quality service provision and culturally proficient communication.

  • Participate in the planning and coordination of department events (i.e. start-up meeting, orientations, Special Games) and professional development in collaboration with the Assistant Director and key staff of Related Services.

  • Assist the Related Services Assistant Director and Manager of Compliance in aligning the work of direct service staff with necessary professional practice and regulatory compliance.

  • Supports and manages clerks on assignment to the related services department.

QUALIFICATIONS - REQUIRED :

  • Bachelor’s degree and/or 3-5 years administrative, managerial or professional experience in public service within an urban area.

  • Strong ability to work as part of an active team, work simultaneously on multiple tasks and projects, prioritize daily activities, and professionally represent division to partners both within and outside of the BPS.

  • Advanced skills in Google Suite and/or Microsoft Suite.

  • Excellent planning, project management and organizational skills with strong attention to detail.

  • Able to use discretion and protect confidentiality in student and employee matters.

  • Strong interpersonal skills, ability to develop relationships and network with various populations.

  • Strong written and oral communication skills.

  • Proven ability to analyze complex problems and propose appropriate solutions.

  • Demonstrated experience in developing spreadsheets and reports/ database management.

  • Ability to manage a large volume of correspondence as would be necessary in this department of 300 staff.

  • Current authorization to work in the United States.

  • An understanding of and commitment to gain greater understanding of what is necessary for an urban school system to enjoy continuous improvement in an increasingly complex and competitive environment.

  • A deeply held and unyielding belief in the overarching mission of public education.

QUALIFICATIONS - PREFERRED :

  • Fluency in another language

  • Solid data and financial management and analysis skills

  • Knowledge of Special Education regulations, program and services

  • Experience using EdPlan, BAIS FN/HCM (Oracle Solutions), Aspen.

  • Familiarity with Boston and Boston Public Schools.

COMPENSATION RANGE: C42 ($101,838)
