Position Overview:

  • We are seeking an experienced Intake Specialist or Paralegal to manage all client intake matters for the firm.
  • This is a vital, client-facing position that serves as the first point of contact for potential clients-often individuals experiencing personal or financial crisis due to an insurance denial.
  • The ideal candidate will combine strong organizational skills, attention to detail, and legal experience with compassion, empathy, and professionalism.
  • Answer a high volume of calls and online inquiry submissions from potential clients.
  • Promptly contact and follow up with all leads via phone and email.
  • Conduct intake interviews by asking a structured set of questions to obtain key facts and evaluate the case's viability.
  • Build rapport with potential clients by listening carefully and demonstrating genuine understanding and empathy.
  • Accurately enter and update all intake data using Clio Grow, Lead Docket, and the firm's internal client management systems.
  • Assist attorneys with administrative intake functions, including organizing and preparing materials for new matters, declining non-qualified cases, and maintaining the internal database.
  • Write legal articles for our Law Firm Blog
Required Qualifications:
  • Prior experience in a law firm intake role or as a paralegal, preferably involving insurance or employee benefits law.
  • Strong ability to speak with potential clients compassionately and professionally.
  • Exceptional organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in online client intake platforms (e.g., Clio Grow, Lead Docket) and MS Office (Word, Excel, Outlook, Adobe).
  • Ability to multi-task and manage a high-volume environment without sacrificing accuracy or client care.
  • Must be available to work full-time, in-person at our Newport Beach office.
