Summary
Under the direction of the Service Manager, the Assistant Service Coordinator supports the service department by responding to customer inquiries, assisting with order processing, preparing quotes, sourcing parts, and providing administrative support. This role works closely with the Service Manager, Service Coordinator, and shop/field teams to ensure smooth operations, accurate job tracking, and excellent customer service.

Responsibilities of the Assistant Service Coordinator include, but are not limited to:

  • Assist the Service Coordinator with requesting quotes for parts needed on service orders.
  • Enter jobs into the P21 system, assign SO numbers, and create purchase orders.
  • Capture freight charges and ensure received parts are properly allocated to the correct job.
  • Assist with inputting labor hours into service orders within P21.
  • Provide administrative support to the Service Manager by handling documents, organizing files, and managing special requests.
  • Monitor job progress by reviewing the board daily and following up with vendors or shop leads regarding any delays.
  • Create and maintain spreadsheets to track shop supplies inventory.
  • Order office supplies for the service department.
  • Generate packing slips for all completed jobs leaving the shop.
  • Maintain and organize important documents for field and service mechanics, including badging, certifications, and safety documentation.
  • Price check and order necessary supplies for field mechanics and machinists.
  • Ensure all required forms are consistently stocked and readily available.
Qualifications of the Assistant Service Coordinator include, but are not limited to:
  • Prior inside sales or customer service experience required.
  • Preferred (but not required) 2-3 years of experience in any of the following: pumps, motors, rotating equipment, or industrial product sales.
  • Proficiency in Windows-based programs (Excel, Word, PowerPoint). Experience with Salesforce, Zoom, Microsoft Teams, SAP Ariba, or Citrix P21 is a plus.
  • Strong communication skills and the ability to work independently.
  • Ability to perform a majority of the listed responsibilities.
  • Willingness to learn and take direction as needed.
  • Strong attention to detail, organization, data entry accuracy, multitasking ability, and customer focus.
