Staff Accountant - Job Description

Position Overview: The Staff Accountant will support the daily accounting and financial reporting functions across ETS Performance's multi-entity structure. This role works closely with the Senior Accountant and Controller to ensure accurate bookkeeping, timely reporting, and compliance with all financial and operational requirements. Responsibilities include general ledger maintenance, accounts payable and receivable processing, payroll support, tax filings, and assisting with audit preparation.

ETS Performance operates with a high-performance, fast-paced culture. We seek individuals who are detail-oriented, self-motivated, and eager to contribute beyond standard expectations. This position requires being in-office at least two times per week and may include periods of increased workload around deadlines.

The ideal candidate has a strong interest in supporting youth, high school, collegiate, and professional athletes by providing accurate financial support to our Directors and leadership team.

Key Roles & Responsibilities

1. Financial Bookkeeping & Reporting
  • Perform general accounting functions for all active QuickBooks entities (65+ locations), including:
    • Preparing recurring, prepaid, and accrual journal entries
    • Completing balance sheet reconciliations and account analysis
    • Maintaining rent schedules and ensuring timely payments
    • Filing required periodic government compliance reports
    • Assisting with annual insurance documentation as needed
  • Provide financial reporting and analytics to the ETS Management Team (e.g., cash flow, membership data).
  • Assist with monthly financial statement preparation, including variance analysis and analytical support for complex transactions.
  • Set up new entities and accounting systems within QuickBooks for new locations.
  • Communicate with Directors regarding payment deadlines, invoicing, and other financial matters.
  • Review credit card transactions, ensure proper coding, and manage intercompany cash transfers as needed.
  • Monitor cash flow at the entity level and flag issues proactively.
2. Accounts Payable, Accounts Receivable & Payroll Support

Accounts Payable
  • Process invoices and bill payments for each location and maintain organized documentation.
  • Manage monthly reimbursement submissions for Directors.
Accounts Receivable
  • Prepare, send, and monitor invoices per location and ensure proper revenue recording.
Payroll Support
  • Assist with payroll system maintenance, including onboarding, employee data, and implementation tasks.
  • Support monthly payroll calculations and journal entries in partnership with the Controller.
    • Assist with withholding tax filings, unemployment filings, and responses as needed.
    • Support annual benefits review and renewal by compiling cost information.

Other
  • Review and manage chargebacks across locations and oversee dispute resolutions.
3. Audit & Tax Support

Audit
  • Assist in gathering, organizing, and providing documentation for external auditors.
  • Maintain accurate document storage and communication workflows during audit periods.
Tax
  • Prepare and file sales & use tax returns for each entity.
  • Coordinate with external tax advisors on required filings.
  • Respond to tax-related notices (withholding, unemployment, new location setup, etc.).
4. Additional Responsibilities
  • Support new location setup including utilities, Bill Pay, and accounting structure.
  • Help maintain and improve internal controls and separation of duties.
  • Participate in the development and standardization of accounting processes.
  • Maintain an organized filing and document management system.
  • Assist with annual budgeting and periodic reforecasts.
  • Complete special projects and prepare supporting analyses or presentations as assigned.
  • Contribute to continuous improvement and support organizational goals.
Job Details
  • Status: Full-Time
  • Location: ETS Headquarters, Woodbury, MN (in-person 2-3x per week required)
Qualifications
  • Bachelor's degree in Accounting, Finance, or related field (CPA preferred but not required)
  • 1-3+ years of relevant accounting experience; understanding of GAAP principles
  • Proficiency in QuickBooks, Sage and payroll systems (ADP preferred)
  • Strong Microsoft Excel skills
  • General knowledge of tax regulations, including sales & use taxes, experience filing preferred
  • Excellent organizational, communication, and time-management skills
  • Ability to multitask in a fast-paced, high-growth environment
  • Strong analytical thinking and problem-solving abilities
  • Experience in multi-location accounting preferred
